Establish and implement standardization procedures including agendas, reports and templates for various HOA communications and association meetings. Initiate procedures and protocols for association communication, documents, resolutions, meeting dates to be compliant with governing documents and state and local statutes. Detailed management of projects is crucial to ensure that target dates are met while adhering to legal deadlines. Coordinate the legal and communications review of required association notices, candidacy requests, newsletters, etc. Work with third-party vendors to facilitate mailings, online voting, election result distributions and reports on voting and quorum results. Develop an active working relationship with all board members. Act as a resource and liaison between board members and HGV Corporate. Manage and facilitate annual board member orientation. Work with board members to ensure they are prepared for association meetings (training, access to information and meeting materials, awareness of meeting locations, times, etc.). Must utilize and become proficient in BoardEffect, the electronic association governance platform. This platform will be used to facilitate all board business – scheduling, meeting materials, action items, minutes, etc. The manager must be able to navigate the platform to fulfill administrative responsibilities as well as train board members, AMS Team and Resort Ops Team as needed. Support the AG team with any property tax issues for associations with third-party vendors. For all association-related music licenses, maintain, track and facilitate the renewal and application process. Manage the assessment billing process from start to finish including liaising with AG team, legal, portfolio services and communications for final approvals. Manage various HOA communications including liaising with the AG team, legal, communications and third-party vendors to create and distribute the biannual board member Beacons, newsletters, annual meeting notices, annual billing notices, call for candidates, messages from the board of directors, etc. Manage integration and innovative ideas that result in projects which may be complex in nature where independent action and a high degree of initiative is required. It is essential to work with various corporate teams such as IT, Club, etc. to identify solutions and develop recommendations for implementation.
