About The Position

The Maintenance Supervisor is responsible for the pleasing appearance and the proper physical operation of the property. This role involves a wide variety of maintenance, supervisory, and administrative tasks. The Maintenance Supervisor supervises two or more staff members of the Service Team and functions as a "working supervisor," directly involved in completing maintenance and repair responsibilities. The nature of the responsibilities often requires considerable physical exertion in performing tasks related to the repair and maintenance of buildings, grounds, and mechanical, plumbing, HVAC, electrical, and electronic systems. The Maintenance Supervisor must create a positive work environment, build relationships with staff, vendors, and residents, exercise good judgment, deliver outstanding customer service, and actively participate on the community management team. Given the residential setting, good communication and customer service skills are essential at all times.

Requirements

  • May require one or more of the following certifications: EPA Certification, Type I and II HVAC Certification, CPO Certification (pool)
  • Other licenses and/or certifications as required by state law
  • 1 year electrical, painting, drywall and plumbing experience
  • 3 years related experience and/or training or equivalent combination of education and experience
  • Ability to frequently sit, stand, walk, reach forward and overhead, and grasp.
  • Must be able to bend, crouch or stoop.
  • Must be able to lift and carry up to 100 lbs. and push and pull up to 100 lbs. with mechanical assistance.
  • Must have close and distance vision and the ability to adjust focus.
  • While performing the functions of this job, the employee is regularly exposed to work near moving mechanical parts, work in high, precarious placed, outdoor weather conditions; frequently exposed to fumes of airborne particles; and occasionally exposed to toxic or caustic chemicals, extreme heat, risk of electrical shock, vibration.
  • The noise level in the work environment is usually moderate.
  • The ability and means to travel locally, overnight, in specific regions or states via automobile and airplane may be required.

Responsibilities

  • Oversee work of all vendors contracted to do work on or provide services for the physical facility, developing positive relationships and ensuring the best interests of the property and residents.
  • Select, train, supervise, and evaluate Maintenance Technicians, Groundskeeper, Work Study Student Residents, and Housekeeper.
  • Develop specifications for work to be completed, review and comprehend specifications from the corporate office, and make them available to potential vendors.
  • Review vendor bids, considering cost, prior experience, references, and ability to complete quality work within the allocated time, and negotiate terms as appropriate.
  • Document any changes in writing with vendor and GM signatures.
  • Review vendor work while on site, discuss concerns immediately, and inspect completed work to ensure it meets specifications and applicable standards.
  • Review on an ongoing basis contracts/agreements with vendors for supplies or ongoing services to determine if the property is receiving good value, and discuss recommended changes with the GM.
  • Manage areas of the budget related to facilities.
  • Manage the work flow of service requests and other tasks to ensure smooth property operation.
  • Discuss with GM an effective procedure to ensure timely and orderly receipt of service requests from office staff, ensuring information is complete and detailed.
  • Assign work to staff and self.
  • Ensure office staff have necessary information and tools to respond effectively to resident questions, especially if repairs are delayed.
  • Review documentation of work completed at the end of the day and note information in the management operating/accounting system.
  • Assess staff performance in completing service requests, including call-backs, efficiency, problem-solving skills, and resident/GM feedback.
  • Discuss budget departments that deal with facilities with the GM.
  • Discuss with the GM the level of authority to make/approve purchases or contract for services without GM consultation.
  • Understand how expenses will be coded to general ledger accounts and be aware of overall monthly expenses to ensure they are in line with the budget.
  • Review Turn Manual with GM and plan for the Turn process in late winter, ensuring all tasks are completed within established timelines.
  • Obtain necessary bids from vendors with GM assistance, based on applicable specifications.
  • Evaluate bids with GM and determine vendor selection.
  • Maintain ongoing positive communication with selected vendors and provide necessary information during the Turn process.
  • Ensure other maintenance, grounds, housekeeping, and student staff are trained for their responsibilities during the Turn process and involve them in planning if appropriate.
  • Assign work to vendors during the Turn process based on corporate standards and knowledge of the vendor.
  • Work effectively with GM, Team Leaders, vendors, and property staff to ensure work is completed based on specifications and within established time periods.
  • Meet with the GM and other appropriate staff after Turn to evaluate its success and note comments in writing for future planning.
  • Achieve high productivity through reliable and punctual attendance and report any tardiness, attendance, and disciplinary issues to the immediate supervisor.
  • Perform other duties as assigned.
