About The Position

The Maintenance Spare Parts Room Coordinator is responsible for managing the spare parts inventory, ensuring accuracy, and supporting maintenance and procurement operations. This role involves planning preventive maintenance, managing the receiving and stocking of parts, coordinating inventory counts, and working with vendors to resolve issues. The coordinator also plays a role in inventory reduction goals and implementing corporate initiatives.

Requirements

  • Experience in MS Office, Excel, PowerPoint, Teams and Advantage preferred
  • 1-3 years of related inventory experience, preferred in a manufacturing environment.
  • Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.
  • Ability to print simple sentences and legibly complete reports and time cards.
  • Ability to understand and follow verbal instructions.
  • Ability to read, analyze and interpret technical procedures and manufacturing terminology.
  • Ability to effectively present information in one-on-one and small group situations to other employees of the organization.
  • Ability to speak effectively before groups of employees.
  • Ability to effectively present information and respond to questions from groups of managers and the general public.
  • Ability to solve practical problems and deal with a variety of variables in situations where only limited standardization exists.
  • Ability to interpret a variety of instructions furnished in written, oral, diagram or schedule form.

Responsibilities

  • Planning Monthly and Annual PMs
  • Managing the receiving spare parts process through the system according to purchase orders, transfers, or returns, and informing the Purchase area of any issues.
  • Tagging all received parts with the corresponding label and locating them on the right shelf assigned on the system.
  • Ensuring all spare parts released to machines have a pick ticket.
  • Placing PRs for items needed for corrective or planning maintenance and informing the user upon arrival.
  • Coordinating cycle counts and physical inventory, maintaining records, and making system adjustments with justification and approval.
  • Assuring accuracy of inventory in the Storeroom.
  • Adding new codes for reorder point or on-demand processes.
  • Storing parts following procedures, maximizing space, and maintaining inventory integrity.
  • Tracking and reporting monthly KPIs, including inventory values, overstock, storeroom fill rate, Open Pick Tickets, cycle counts, inventory adjustments, and pending purchase orders.
  • Maintaining a clean and orderly work area.
  • Developing optimal inventory levels by running CMMS reports, reviewing min/max inventory levels, and managing inventoried parts.
  • Investigating inventory discrepancies, consulting with stockroom staff, proposing solutions, and making system adjustments.
  • Working with vendors and plant personnel to solve technical and functioning issues with parts.
  • Implementing procedures for setting up new parts in the stockroom.
  • Tracking and documenting all parts sent out for repair, and performing analysis of buying new versus repairing a part.
  • Ensuring returned repairs are labeled and warranty repair periods are documented.
  • Resolving tactical issues with shipped parts (stock and non-stock) with stockroom attendants, involving Purchase or Maintenance areas when needed.
  • Managing and leading the store room inventory reduction goals, and implementing programs to identify and analyze idle, slow-moving, and obsolete parts.
  • Supporting purchasing through consignment-buyback initiatives and implementing processes to remove spare parts from inventory.
  • Managing and implementing Corporate Initiatives for Preferred Vendors.
  • Participating in the Spare Parts, Maintenance, and procurement committee.
  • Following safety procedures and reporting any injury or near miss.
  • Administering and monitoring vendor’s services.
  • Providing training to new employees in the area.
  • Coordinating the duties and goals for Spare Part Room employees in the shift.
  • Actively participating in improvement projects.
  • Reporting any work-related incident.
  • Performing other duties assigned by the Manager.
