About The Position

The Maintenance Service Coordinator – HPC Operations is responsible for coordinating and managing all vendor-delivered maintenance and service activities across a high-performance computing (HPC) data center. This role serves as the central point of coordination for contracted maintenance services supporting critical infrastructure, including power, cooling, and compute systems. Sitting within the Planning Department, the position ensures that vendor work is effectively scoped, contractually compliant, operationally aligned, and thoroughly documented. The role is critical to maintaining uptime, reliability, and long-term asset performance in a mission-critical environment.

Requirements

  • Bachelor’s degree preferred in Business Administration, Engineering, Facilities Management, or Contract/Commercial Management; or equivalent experience
  • Strong organizational and coordination skills with exceptional attention to detail
  • Demonstrated experience managing vendor services, contracts, or maintenance activities end-to-end
  • Working knowledge of contract terms, conditions, and compliance requirements
  • Familiarity with procurement processes, tendering, and basic financial principles
  • Proficiency in Microsoft Office

Nice To Haves

  • Experience in data centers, facilities maintenance, construction, electrical systems, or other high-availability environments is highly regarded
  • experience with CMMS, EAM, or project management systems is an asset

Responsibilities

  • Coordinate outsourced maintenance activities from scope development through execution and closeout
  • Translate operational and reliability requirements into clear scopes of work (SOWs), service agreements, and work orders
  • Act as the primary interface between Planning, Operations, Procurement, and external service providers
  • Maintain ownership and oversight of vendor activities once work is approved
  • Prepare, coordinate, and track approvals for service contracts, work orders, purchase orders, change orders and RFI’s
  • Maintain contract registers and ensure compliance with company and regulatory requirements
  • Manage contractor documentation including insurance, certifications, and safety compliance
  • Coordinate vendor work to align with HPC maintenance windows, change management processes, uptime, redundancy, and risk constraints
  • Ensure all work complies with site procedures, access controls, and safety standards
  • Facilitate pre-job planning and readiness reviews for critical or high-risk activities
  • Serve as the primary coordination and escalation point during vendor-executed work
  • Monitor adherence to scope, schedule, and safety requirements
  • Coordinate resolution of field issues, scope changes, or operational conflicts
  • Ensure all maintenance activities are accurately recorded in asset management systems, including service reports, inspection reports and testing and certification records
  • Lead formal job closeout, ensuring all deliverables are received, reviewed, and archived
  • Maintain complete service and commercial records for all HPC infrastructure assets
