Position Summary The Maintenance PM Scheduler is responsible for planning, scheduling, coordinating, and monitoring preventive, predictive, and corrective maintenance activities to ensure maximum equipment reliability, asset performance, and operational efficiency. This position works closely with maintenance technicians, operations personnel, vendors, and management to develop and maintain effective maintenance schedules while minimizing downtime and optimizing labor and material resources. The PM Scheduler utilizes a Computerized Maintenance Management System (CMMS) to manage work orders, maintenance plans, equipment histories, and resource allocation. The role is critical in driving maintenance excellence, regulatory compliance, safety performance, and asset reliability. Position Objective The primary objective of the Maintenance PM Scheduler is to ensure maintenance work is proactively planned, properly resourced, efficiently scheduled, and successfully executed to maximize equipment reliability, support operational goals, reduce downtime, improve safety, and optimize maintenance costs.

Requirements

  • High School Diploma or GED required.
  • 3–5 years of maintenance, facilities, manufacturing, or industrial experience required.
  • Proficiency with CMMS systems
  • Strong knowledge of preventive and predictive maintenance programs.
  • Advanced Microsoft Excel skills.
  • Proficiency with Microsoft Office Suite.

Responsibilities

  • Develop, maintain, and optimize preventive maintenance schedules for all facility and production assets using current CMMS systems.
  • Create weekly, monthly, quarterly, and annual maintenance schedules based on asset criticality and operational requirements.
  • Coordinate maintenance activities to minimize disruptions to production and facility operations.
  • Review maintenance work requests and determine scheduling priorities.
  • Schedule labor resources, contractors, tools, and equipment required to execute maintenance work.
  • Ensure maintenance work orders are properly planned before scheduling.
  • Balance planned maintenance activities with emergency and reactive maintenance requirements.
  • Manage maintenance backlog and prioritize work based on risk, safety, reliability, and business impact.
  • Maintain accurate asset records, PM procedures, labor hours, equipment histories, and maintenance documentation.
  • Generate and release preventive maintenance work orders through the CMMS.
  • Update maintenance schedules and work order statuses.
  • Monitor completion rates and ensure work orders are closed accurately and promptly.
  • Support CMMS data integrity initiatives and continuous process improvements.
  • Develop reports and dashboards to monitor maintenance performance.
  • Coordinate preventive and predictive maintenance programs.
  • Ensure PM activities are completed according to established frequencies and procedures.
  • Review PM effectiveness and recommend adjustments based on equipment performance and failure history.
  • Partner with reliability and engineering teams to improve maintenance strategies.
  • Assist in implementing condition-based and reliability-centered maintenance practices.
  • Coordinate workforce schedules with maintenance supervisors and operations personnel.
  • Ensure required parts, consumables, tools, permits, and documentation is available before work execution.
  • Work closely with procurement and inventory personnel to secure materials in advance of scheduled work.
  • Monitor labor utilization and productivity metrics.
  • Coordinate external contractors and service providers as required.
  • Any other duties assigned per the Maintenance Manager.
  • Ensure maintenance activities comply with OSHA, environmental, safety, and company standards.
  • Verify work is scheduled in accordance with lockout/tagout (LOTO), confined space, and permit requirements.
  • Maintain documentation required for audits, inspections, and regulatory compliance.
  • Promote safe maintenance practices and adherence to company policies.
  • Generate and analyze maintenance KPIs, including: PM compliance, Schedule compliance, Maintenance backlog, Equipment downtime, Mean Time Between Failure (MTBF), Mean Time to Repair (MTTR), Work order completion rates, Labor utilization.
  • Provide management with regular reports and recommendations.
  • Identify trends and opportunities for continuous improvement.
  • Participate in reliability and maintenance improvement initiatives.
  • Support Lean Manufacturing, TPM (Total Productive Maintenance), and Continuous Improvement programs.
  • Help identify chronic equipment issues and recommend corrective actions.
  • Assist in developing standardized work processes and maintenance best practices.
