About The Position

The Maintenance Planner reports directly to the Maintenance Manager and is responsible for the end-to-end planning, scheduling, and coordination of all maintenance work within the facility. This role ensures all maintenance activities are fully planned, resourced, vetted in the field, and aligned with production schedules prior to execution. The Maintenance Planner drives efficiency through data analysis, parts readiness, contractor coordination, and continuous improvement of maintenance practices. The position requires strong collaboration with Maintenance, Production, Engineering, and Supply Chain to deliver a complete and executable weekly maintenance plan.

Requirements

  • Minimum 5 years of experience as a Maintenance Planner in an industrial or manufacturing environment.
  • Strong expertise in maintenance planning, scheduling, and backlog management.
  • Demonstrated experience with PM completion analysis, MRO consumption reporting, and parts kitting and work package development.
  • Experience managing contractors, vendors, and maintenance-related sourcing/quotes.
  • Proficiency in Microsoft Excel (advanced preferred), Microsoft PowerPoint, and Microsoft Project or Microsoft Excel (Gantt chart development required).
  • Experience with CMMS systems (SAP PM, etc.).
  • Strong understanding of maintenance best practices including preventive and predictive maintenance.
  • Basic ability to read and interpret technical drawings, BOMs, and equipment documentation.
  • Strong analytical, organizational, and problem-solving skills.
  • Effective communicator with the ability to work cross-functionally with all levels of the organization.
  • Ability to manage multiple priorities in a fast-paced manufacturing environment.
  • Continuous improvement mindset with focus on efficiency and reliability.

Responsibilities

  • Develop detailed job plans for all corrective, preventive (PM), and predictive maintenance work.
  • Build and maintain a weekly maintenance schedule aligned with production planning to minimize operational disruption.
  • Partner directly with Production Planning to schedule maintenance activities around manufacturing requirements.
  • Lead and facilitate a weekly maintenance planning meeting with area leadership to review, align, and communicate the plan.
  • Manage and prioritize the maintenance backlog based on equipment criticality, safety, and operational impact.
  • Perform field job walks to scope work, validate job steps, and identify required labor, tools, permits, and safety considerations.
  • Create and maintain comprehensive work packages including step-by-step job instructions, required parts and materials, drawings, procedures, and safety documentation.
  • Coordinate and execute kitting of parts for all planned maintenance work to ensure full readiness before scheduling.
  • Ensure all materials, tools, and contractor resources are available prior to scheduled execution.
  • Coordinate with contractors and external vendors for maintenance activities, including scheduling and execution oversight.
  • Manage vendor communication, scope development, and quote acquisition and evaluation.
  • Support contractor onboarding, site readiness, and compliance with plant safety and operational standards.
  • Perform Preventive Maintenance (PM) completion analysis to identify compliance gaps, inefficiencies, and improvement opportunities.
  • Develop and maintain MRO consumption reports to track material usage, optimize inventory, and control maintenance spend.
  • Track and report key maintenance metrics including schedule compliance, backlog health, PM completion rates, and labor utilization.
  • Utilize data to drive continuous improvement in planning accuracy, execution efficiency, and reliability performance.
  • Utilize CMMS (SAP, or similar) to manage work orders, job plans, scheduling, and historical maintenance data.
  • Leverage Microsoft Excel for data analysis, reporting, and KPI tracking.
  • Use Microsoft PowerPoint to communicate maintenance performance, plans, and initiatives to leadership.
  • Utilize Microsoft Project to develop and manage maintenance-related project plans, including Gantt charts for shutdowns, major repairs, and capital work.
  • Apply basic project management principles to ensure work is executed on time, within scope, and with proper coordination.
  • Spend consistent time on the production floor evaluating PMs and maintenance tasks for effectiveness and efficiency.
  • Identify and implement improvements to job plans, task sequencing, tooling, and execution methods.
  • Develop, standardize, and maintain all Preventive Maintenance work instructions ensuring consistency and quality execution.
  • Support reliability initiatives including failure analysis and maintenance strategy improvements.
  • Act as the central point of coordination between Maintenance, Production, Engineering, and Supply Chain.
  • Provide clear, structured communication of maintenance plans, priorities, and schedule changes.
  • Ensure alignment across all departments on planned maintenance activities and constraints.
  • Communicate risks, delays, and execution challenges proactively to leadership.
