About The Position

This role is responsible for managing the procurement and inventory of maintenance parts and supplies. The coordinator will research vendors, process purchase orders, track inventory, and ensure timely delivery of parts to meet repair and maintenance schedules. This position also involves data entry, invoice reconciliation, and supporting the Maintenance Manager with planning and reporting. Requirements

  • Experience in maintenance parts purchasing, receiving, and warehousing.
  • Proficiency in data entry and maintaining tracking sheets.
  • Experience with Computerized Maintenance Management Systems (CMMS).
  • Ability to research vendors and suppliers.
  • Skills in processing purchase orders and invoices.
  • Ability to track backorders and manage inventory.
  • Experience with claim procedures for shipment discrepancies.
  • Ability to collaborate and communicate with various departments.
  • Experience in preparing and filing reports.

Responsibilities

  • Research vendors and suppliers to find the most cost-efficient sources for supplies.
  • Request and obtain appropriate purchase order approvals.
  • Perform data entry of purchase orders and maintain tracking sheets.
  • Process assigned purchase orders accurately and ensure vendor deadlines are met for timely delivery.
  • Track backorders, arrange for deliveries, and notify the Maintenance Manager of expected delivery dates.
  • Track purchase orders for full receipt and follow up on incomplete or missing orders.
  • Collaborate, coordinate, and escalate vendor issues with all departments.
  • Handle claim procedures for short/overage and damaged shipments, and arrange for returns.
  • Ensure accuracy and timeliness of invoice and purchase order processing.
  • Reconcile parts and supply invoices.
  • Support all aspects of stock management.
  • Maintain supplier, part detail, and inventory information in the CMMS Master file.
  • Manage maintenance parts purchasing, receiving, bar coding, warehousing, and Work Order Entry.
  • Assist the Maintenance Manager in planning and coordinating PM routines and scheduling with the operations group for downtime and maintenance.
  • Issue parts, record withdrawals, and update the Computerized Maintenance Management System (CMMS).
  • Assist maintenance personnel with work order maintenance and review daily work orders for services performed and parts used.
  • Prepare and file reports as required.
  • Perform ad hoc duties as required within the department.
