About The Position

The Maintenance Management Specialist exists to sustain and continuously improve ONTC’s maintenance management practices by ensuring effective maintenance processes, reliable asset data, and optimal use of the Hexagon EAM/GIS platform to support safe, efficient, and reliable operations across all service areas.

Requirements

  • Advanced college diploma in Engineering, Asset Management, Business Analysis, Maintenance Management or a related field.
  • Minimum 3 years of experience in maintenance management, with strong knowledge of maintenance planning, scheduling, work execution, optimization, and asset lifecycle management.
  • 1-2 years of experience in a regulated, infrastructure-intensive industry such as transportation, utilities, or municipal government.
  • Experience supporting, implementing, or enhancing EAM/CMMS solutions, with working knowledge of related ERP and reporting platforms (e.g., Hexagon EAM, SAP PM, Maximo).
  • Experience participating in the full lifecycle implementation of enterprise systems, from requirements gathering through deployment and release.
  • Demonstrated workplace safety and asset risk awareness (e.g., WHMIS or basic asset risk principles).
  • Experience collaborating with cross-functional teams.
  • Experience translating business and operational needs into technical requirements and defining software features, MVPs, and product roadmaps.
  • Proficiency with Microsoft Office applications, including advanced Excel skills; experience with Power BI or similar reporting tools is an asset.
  • Ability to support organizational change initiatives by training, supporting, and influencing users with varying levels of technical expertise while applying change management and user adoption best practices.
  • Strong analytical, problem-solving, organizational, prioritization, and time management skills.
  • Excellent communication, presentation, facilitation, and interpersonal skills, with the ability to engage both technical and non-technical stakeholders and build effective working relationships.
  • Valid Class G driver’s licence preferred.
  • Ability and willingness to travel to locations throughout the ONTC network (up to approximately 25% of the time).
  • Availability to provide occasional after-hours support during Hexagon EAM releases, cutovers, or Sev-1 incidents affecting maintenance operations.

Nice To Haves

  • Additional coursework, training, or certification in Enterprise Asset Management (EAM), Geographic Information Systems (GIS), or Business Analysis is an asset.
  • Certified Maintenance & Reliability Professional (CMRP), Certified Asset Management Assessor (CAMA) or Institute of Asset Management (IAM) certification is a definite asset.
  • ITIL Foundation Certification, Certified Scrum Product Owner (CSPO), or similar Agile/Product Ownership certification is preferred.
  • experience with Power BI or similar reporting tools is an asset.

Responsibilities

  • Provide functional support and oversight of the Hexagon EAM/GIS maintenance management system, ensuring alignment with ONTC maintenance practices and operational requirements.
  • Support consistent work management processes across planning, scheduling, execution, close-out, and performance analysis activities.
  • Collaborate with maintenance and operational teams to identify process gaps, resolve system issues, and recommend practical solutions.
  • Maintain maintenance management documentation, workflows, job aids, and standard operating procedures.
  • Engage stakeholders across Rail Mechanical, Rail Infrastructure, Facilities, and Motor Coach Services to assess business needs, address adoption challenges, and support continuous improvement.
  • Evaluate and prioritize enhancement requests, defects, and support issues.
  • Coordinate system enhancements, configuration updates, testing activities, and releases with IT, vendors, and business-area representatives.
  • Facilitate user acceptance testing and validate system changes to ensure they support approved maintenance processes and business requirements.
  • Support the accuracy, integrity, and consistency of maintenance data, including asset information, work orders, preventive maintenance records, inspections, labour, materials, and failure data.
  • Work with business units and data teams to identify reporting needs, improve data quality, and provide actionable maintenance performance insights.
  • Develop and deliver user training, coaching, refresher sessions, and functional guidance to promote effective system utilization and user adoption.
  • Provide troubleshooting support for maintenance management processes and escalate complex issues as required.
  • Analyze system usage, support trends, and user feedback to identify opportunities for process, reporting, training, and system improvements.
  • Support continuous improvement initiatives that enhance maintenance effectiveness, asset reliability, data quality, and user experience.
