About The Position

Edgewood Properties, a leading real estate development and property management company founded in 1992 with headquarters in New Jersey, is experiencing rapid growth. The company's multi-family portfolio is expected to double in the next couple of years and exceed 12,000 units in five years. We are seeking a Maintenance Coordinator with 1-3 years of industry experience to support our multi-family portfolio. This full-time position will be based at our corporate HQ in Piscataway, NJ. The role involves managing administrative tasks for large, complex communities, potentially supporting maintenance administrative functions. Key responsibilities include managing service requests, apartment turnovers, preventive maintenance, on-site purchasing, project management, and general administration.

Requirements

  • High School diploma or equivalent (GED).
  • 1-3 years of multi-family or related property management experience, or equivalent experience in retail or hospitality.
  • Ability to listen and quickly develop rapport with residents and associates and successfully solve problems.
  • Ability to complete repetitive administrative tasks with high attention to detail and limited mistakes.
  • Ability to manage multiple on-going tasks and schedules and adhere to and enforce required deadlines.
  • Ability to speak, read, and write English, demonstrated by clear and concise written reports and verbal communications.
  • Ability to perform basic arithmetic skills (measurement, addition, subtraction, multiplication, division) for calculations and analysis.
  • Ability to perform basic office applications (word processing, e-mail, spreadsheets).
  • Ability to frequently operate general office equipment (personal computer, telephone, photocopying machine, facsimile machine, postage machine).
  • Ability to frequently transport up to 60 pounds variable distances.
  • Mobility and flexibility to store and retrieve packages from shelving.
  • Ability to frequently stand, walk, stoop, kneel, crouch, and climb (stairs, steps, ladders, etc.).
  • Proficiency in MS Office Suite (Excel, Word, Outlook).
  • Proficiency in or capability to learn OneSite Real Page.
  • Proficiency in or capability to learn Adobe Acrobat DC.
  • Valid driver's license and automobile insurance.

Nice To Haves

  • Bachelor's degree preferred.
  • Experience in retail or hospitality.

Responsibilities

  • Enter, track, and close service requests, and follow up on outstanding issues.
  • Enter POs, schedule turns/vendors, and upload work acknowledgements for the turns process.
  • Maintain the property asset log in Real Page, including adding new assets and updating existing ones.
  • Prepare quotes, submit purchase orders for supplies and materials, and document deliveries.
  • Maintain shelf stock based on approved minimum on-hand quantities.
  • Support preventive maintenance and project management processes.
  • Prepare resident communications, schedule appointments, track and close preventive maintenance tasks, and assist with contract preparation and file maintenance.
  • Manage all property vendor contracts (costs, scope compliance, etc.) and oversee day-to-day vendor operations on site.
  • Update maintenance logs such as carpet replacement, hot water tank replacement, and exterminating logs.
  • Enter orders and invoices, research aged orders and invoices, and confirm receipt of goods for purchasing processes.
  • Monitor and adhere to applicable Edgewood Properties policies and procedures, ensuring compliance with federal, state, and local laws, specifically Fair Housing regulations.
  • Complete weekly reports on Maintenance Alerts, including service request activity and overdue requests.
  • Complete assigned on-boarding and ongoing training in Grace Hill.
  • Maintain professional appearance and adhere to dress code.
  • Model and demonstrate behaviors listed on the Maintenance Management Core Competencies.
