About The Position

Under the supervision of the Director of Facilities, this role provides essential administrative support for the Facilities Department, ensuring efficient operations and assisting the Director in their duties. The position involves managing administrative and clerical tasks, handling communications, maintaining records, and supporting department personnel.

Requirements

  • High school diploma, GED, or a combination of education and administrative assistant experience.
  • Computer knowledge is required.
  • Secretarial experience in maintenance and construction, or a combination of experience and education.
  • Command of business English and ability to write letters using correct grammar, spelling, and punctuation.
  • Ability to communicate with others in a clear and precise manner.
  • Problem-solving skills, ability to analyze issues, create plans of action, and reach solutions.
  • Ability to maintain confidentiality of records and correspondence.
  • Ability to relate to the public, staff, and administration in a positive manner.
  • Knowledge of modern office practices, procedures, and equipment.
  • Knowledge of office procedures and basic bookkeeping procedures; data input.
  • Strong knowledge of MS Office, including Word, Excel, PowerPoint, and Outlook.
  • Demonstrates effective human relations skills.
  • Ability to communicate effectively with individuals and groups, both verbally and in writing.
  • Ability to perform multiple tasks.
  • Ability to prioritize work and make good decisions in the absence of the Director of Facilities.
  • Ability to work under standardized instructions and/or routines.
  • Ability to provide information and/or advise others.
  • Ability to operate within a defined budget and/or financial guidelines.
  • Ability to work flexible hours, shifts, or days as determined by business demands.

Responsibilities

  • Performs administrative/clerical duties to assist the Director and ensure efficient operation of the Facilities Department.
  • Answers administrative telephones and takes messages for the Facilities Department.
  • Maintains schedules for the Facilities team, including scheduling and sending reminders for meetings and events.
  • Maintains, dispatches, and tracks all computerized work orders for the Facilities Department using work order software and a 2-way radio system.
  • Places necessary supply orders with vendors using the company's computerized purchasing program.
  • Receives and processes incoming and outgoing mail.
  • Assists employees with questions and other miscellaneous duties.
  • Acts as a liaison to Human Resources.
  • Types and distributes various reports and memos to management.
  • Creates and distributes or posts weekly employee schedules.
  • Types various reports for the Director of Facilities.
  • Prepares new files for employees, contracts, work orders, correspondence, and other written materials as requested.
  • Maintains office supply inventory.
  • Attends meetings to convey and/or gather information required for job functions.
  • Creates and maintains attendance and discussion notes during meetings.
  • Prepares reports for the Director of Facilities as needed.
  • Maintains various records and compiles pertinent information for the Director of Facilities’ use.
  • Responds to inquiries to provide information and/or direction.
  • Assists Facilities department personnel in supporting their work activities.
  • Maintains records/files to document and/or provide reliable information for the department.
  • Processes business documents and materials such as purchase requisitions, purchase orders, work orders, agendas, and mail.
  • Maintains regular and punctual attendance.
  • Complies with Federal, State, and Tribal laws.
  • Works in a safe manner and complies with company and OSHA safety regulations.
  • Performs other duties as assigned (non-gaming functions and issued gaming license permitting).
