About The Position

This position is responsible for all front-end duties in the mailroom, including maintenance calls for the postage machine, preparing all outgoing mail bags, applying postage to all outgoing Canada Post mail, sorting incoming mail and couriers, scanning of Canada Post mail, handling mailroom communication and courier requests/deliveries, and managing the mailroom email. The role involves receiving, sorting, and distributing all external mail and courier packages, including opening and sorting unaddressed packages, sorting mail into appropriate slots, and notifying individuals via Envoy when their packages have arrived. It also includes sending internal mail and courier packages to satellite offices and stores, printing courier labels, bagging and sealing mail, preparing bags with courier labels, and sorting for courier pick-ups. The position requires stamping Canada Post mail and sorting it to appropriate bins for pick-up, rerouting misguided shipments, overseeing the postage machine and notifying the Office and Facility Manager when postage is low, and maintaining records of shipments for 30 days. Additionally, the role ensures all outgoing courier packages have a completed Outbound Mail form with the appropriate GL Code and necessary paperwork for international shipments. The Mailroom Coordinator is responsible for keeping the front-end mailroom and loading dock tidy, organizing mail slots as needed, recording inbound courier packages using Envoy, cataloging outbound mail items, and replenishing the postage meter. The role also involves assisting with incoming couriers, signing for packages, maintaining order and structure within the loading dock, ensuring a safe work environment, properly storing equipment, and following up on undelivered packages. Providing tracking numbers to employees in a timely manner and acting as an Occupational Health and Safety Committee Member are also key duties. The position requires assisting within the team as needed and performing any other reasonable requests.

Requirements

  • Experienced Customer Service
  • Computer skills (Excel, Word, Outlook, Access)
  • Some heavy lifting is required.
  • Familiarity with pallet jacks
  • Flexibility in ability to work on short notice.

  • Detail oriented and works well under pressure and strict deadlines.

Nice To Haves

  • 6 to 12 months previous experience with Courier shipping systems an asset.
  • First Aid Certified.

  • Follow up on any packages that have not arrived at their intended destinations.
  • Provide tracking numbers to employees in a timely manner.
  • Act as an Occupational Health and Safety Committee Member.
  • Assist within the team as required.
  • Perform any other reasonable requests.
