About The Position

This position is responsible for processing incoming and outgoing mail for inmates, ensuring compliance with facility rules and security protocols. The role involves inspecting correspondence, publications, and packages, maintaining records, issuing supplies, and responding to inmate inquiries. A key aspect of the job is scanning all outgoing mail and incoming mail (except legal mail) for contraband, gang-related material, or security threats. The clerk must also handle money orders and cash, sort mail, and deliver it to housing areas. Additionally, the position requires screening publications for distribution and ensuring the security of the mailroom operations.

  • High school diploma or equivalent.
  • Valid driver’s license.

  • Proficiency in reading and speaking Spanish preferred.

Responsibilities

  • Review incoming books intended for inmates’ receipt; inspect general inmate correspondence, publications and packages.
  • Maintain all records and files pertinent to processing inmate correspondence and mailroom activities.
  • Issue postage and writing materials to indigent inmates and maintain all necessary records pertinent to the issuance of such postage and materials.
  • Interpret correspondence rules and obtain information on proper procedures for handling inmate correspondence.
  • Prepare various forms related to the processing of inmate correspondence and mailroom functions.
  • Respond to inmate questions, complaints, and/or requests pertaining to their correspondence.
  • Ensure inmates do not handle other inmates’ correspondence.
  • Scan all outgoing mail for content (contraband, gang related material, security issues, etc.) and report any suspicious material immediately.
  • Open and scan all incoming mail (with the exception of legal mail) and examine for contraband or any material that may endanger the order or security of the facility.
  • Reseal all correspondence.
  • Bring all money orders addressed to detainees to the Business Manager daily.
  • Return all cash currencies to the sender.
  • Return all money orders mailed for a detainee no longer housed at the facility to the sender utilizing proper procedures.
  • Sort all mail by addressee name and number and handwrite the offender’s current housing assignment on the outside of the envelope.
  • Deliver all mail to the housing area upon completion of processing.
  • Process all un-deliverable mail by returning it to the mail room for proper processing.
  • Screen all publications for distribution to offenders.
