The Mail Services Associate – Site Lead is responsible for overseeing daily on‑site operations to ensure productivity, accuracy, and service quality standards are consistently met. This role serves as the primary point of contact for the site, coordinating staff, managing workflow, and maintaining strong communication between the team, client contacts, and regional leadership. The Site Lead supports both operational excellence and a positive customer experience while ensuring compliance with company policies and procedures.

Requirements

  • High school diploma or equivalent preferred.
  • Previous experience in mail services, office services, or a related operational role preferred.
  • Strong communication skills with the ability to lead, train, and support team members.
  • Ability to understand and follow written and verbal instructions.
  • Basic understanding of postage rates, mail regulations, and mail processing equipment (or willingness to learn).
  • Strong organizational skills with the ability to manage multiple tasks and meet deadlines.
  • Professional demeanor with a customer‑focused, service‑oriented approach.
  • Ability to lift up to 50 pounds as needed.
  • Ability to walk, stand, and traverse office facilities to collect and deliver mail throughout the day.

Responsibilities

  • Lead day‑to‑day mail services operations, ensuring all tasks are completed efficiently, accurately, and on schedule.
  • Supervise, train, and support team members to maintain high performance and service standards.
  • Conduct regular floor walks and on‑site audits to ensure quality, safety, and compliance.
  • Monitor workflow, identify issues or delays, and implement timely solutions.
  • Maintain daily communication with the Regional Manager and facilities team regarding site updates, needs, and escalations.
  • Ensure proper use, care, and maintenance of equipment, materials, and supplies.
  • Coordinate with leadership and on‑site client contacts to support operational needs and service expectations.
  • Oversee accurate sorting, processing, and distribution of large volumes of mail and packages.
  • Ensure compliance with postage regulations, mailing procedures, and company guidelines.
  • Assist with machine operation and basic troubleshooting following established instructions.
  • Provide excellent customer service, addressing inquiries and resolving issues professionally.
  • Maintain awareness of building layout, department locations, and organizational structure to support efficient delivery.
