About The Position

The Mail Processing Clerk is responsible for organizing, classifying, and maintaining patient and provider communications and ensuring timely delivery to the United States Postal Service (USPS). This role ensures that all outgoing physical communications are accurately printed and processed to the appropriate recipients in compliance with regulatory and organizational standards. The Mail Processing Clerk supports various operational areas including but not limited to Utilization Management, Care Management, and Claims.

Requirements

  • High School diploma or equivalent.
  • At least one year of experience in health information management, medical office operations, records indexing, data entry, or related field.
  • General understanding of medical terminology and healthcare documentation.
  • Proficiency with EHR systems and document management platforms.
  • High attention to detail and accuracy in data entry.
  • Ability to follow structured workflows and mailing protocols.
  • Strong organizational, time management, and prioritization skills.
  • Ability to maintain confidentiality and comply with HIPAA regulations.
  • Effective written and verbal communication skills.
  • Ability to work independently and collaboratively within a team.
  • Analytical problem-solving skills and ability to identify documentation discrepancies.
  • Ability to remain standing for extended periods while operating mail processing machines.
  • Frequent repetitive motions such as typing, clicking, and handling documents.
  • Ability to occasionally lift items weighing up to 25 pounds.
  • Sustained attention to detail, strong focus, and ability to maintain mental concentration over long durations.
  • Capacity to manage stress associated with deadlines, high-volume workloads, and the fast-paced nature of health information operations.

Nice To Haves

  • Training, coursework, or certification in health information management, medical records, or related field.
  • At least two years of EHR mail or indexing experience.
  • Experience working in a HIPAA-regulated healthcare environment.
  • Previous experience with document management or healthcare scanning/indexing systems.
  • Registered Health Information Technician (RHIT), Certified Healthcare Documentation Specialist (CHDS), and/or Certified Medical Administrative Assistant (CMAA) preferred.
