About The Position

This role, based in Denver, will report to the Director, LTI and Retirement Plans. Responsible for administering equity-based programs including synthetic equity interests mutual fund awards, Employee Purchase Plan, and others. Also responsible for administering the 401(k) Plan. You will answer employee questions and resolve problems while exercising good judgment within defined practices and policies.

Requirements

Experience in retirement and LTI plans
High degree of accuracy and attention to detail
Ability to appropriately handle confidential information
Strong Excel skills
Intermediate knowledge of HRIS systems (i.e. Access, SAP, etc.)
More than 5 years experience in stock plan administration, accounting, or a related field required
Ability to plan, prioritize and organize effectively to meet deadlines
Ability to build and maintain detailed process documents
Ability to work independently with little or no supervision
Strong communication skills, including verbal, written, and interpersonal
Basic knowledge of accounting, tax and payroll requirements associated with stock plan administration a plus

Responsibilities

Prepare reports and send files to payroll, accounting, auditors (internal and external), and outside vendors for LTI, ESPP Plans, 401(k) Plan and Deferred Compensation Plans on a monthly, quarterly, or as needed basis
Upload annual grants, revise and update grant agreements for review.
Build and issue all Fund Unit award agreements through DocuSign.
Track award acceptances and follow up on outstanding awards
Run preliminary vesting reports to audit and revise the data prior to each vesting
Manage ESPP including enrollment tracking, contribution audits, purchases, grant uploads, termination processing and payroll recordings.
Maintain ESPP plan costs and break-even analysis.
Assist with the annual preparation of the 401(k) non-discrimination testing template
Annual notification to new participants of 401(k) Return of Excess (ROE) limits. File ROE requests on behalf of participants
Reconcile and support grants, distributions, termination and cancellation activity to ensure plan compliance and accurate financial reporting related to equity compensation matters
Global mobility tracking for 401(k), Purchase Plan and LTI awards participation. Communicate changes to eligible participants
Maintain annual U.S. calendar for scheduled activities and deadlines relating to 401(k) and LTI responsibilities.
Answer employee questions and resolve problems
Maintain budget accounting and accrual tracking for the US LTI and retirement plans
Reconcile data for accuracy, audit data between Payroll and recordkeeper on a quarterly basis, generate reports such as Employee Ownership reporting, monthly financial reporting, ad hoc requests, closing statements, transaction notifications, etc.
Assist with preparation of inter-office or broad-based communications.
Build and maintain employee educational materials and resources on company intranet
Maintain and update process documentation as necessary
As a member of the People Department, work closely with other departments such as Payroll, Finance, Accounting, Legal, Tax and Compliance teams
Understand the details of the global LTI plans
Suggest improvements in overall global plan administration including cost minimization ideas
Participate in special projects as needed
Carry out additional duties as assigned
