About The Position

This position is responsible for coordinating the lot purchase process including maintaining record of the terms and timing of lot purchases, communicating within the company and with developers and title companies to help ensure the accuracy and timeliness of lot purchases, and processing the lot purchases, including preparing the wire transfers for approval. The position also provides administrative support to the process of releasing homes for construction and provides assistance to the Accounting and Tax Departments.

Requirements

  • High School Diploma or equivalent required
  • 1-2 years of relevant administrative experience preferred
  • Highly organized and a strong attention to accuracy and detail.
  • Ability to build and maintain relationships and communicate with others effectively, both orally and in writing, in a professional and competent manner.
  • Demonstrated computer skills including a working knowledge of MS Office products, including Excel and Word.
  • The ability to add, subtract, multiply and divide using whole numbers, fractions and decimals, to compute percentages, and to perform basic algebra and geometry.
  • Demonstrated organization and time management, which includes the ability to multi-task and run multiple projects simultaneously while maintaining thoroughness and precision.

Responsibilities

  • Manage schedule of lot acquisition contracts, including review of lot purchase contracts to ensure terms are properly reflected in log.
  • Liaise with title companies, developers, design department, tax department and Company executives to schedule and complete lot purchases.
  • Prepare wire request forms, set up wires, and have wires released to complete land purchases.
  • Prepare and maintain various monthly reports of land purchase activity.
  • Maintain monthly lot purchase schedule, setting monthly inventory takedowns and acquiring executive approval.
  • Use Company’s sales and accounting systems to process daily construction releases and prepare folders for the construction release and lot purchase documents.
  • Provide assistance to Tax Department in various duties when needed.
  • Prepare and submit journal entries to accurately record lot acquisitions.
  • Perform general ledger account reconciliations.
  • Reconcile policy premiums reported and paid at closing.
