About The Position

American Conservation Experience (ACE) is a non-profit organization focused on environmental service opportunities. The Logistics Coordinator plays a crucial role in supporting field operations by managing resource distribution, safety supplies inventory, and administrative tracking. This position involves coordinating meal planning, purchasing, and packing for field crews, overseeing equipment readiness, and assisting with administrative tasks like invoicing and reporting. The role is based in Flagstaff, Arizona, and is a regular, full-time, salaried position with potential for limited local telework. The scope and schedule may vary with seasonal work volume.

Requirements

  • Bachelor's degree and one year of related professional experience OR an equivalent combination of education and experience.
  • 1 or more years of experience working in logistics, fleet, and facilities management, or 2+ years developing expertise in one of these areas with interest and ability to learn the necessary skills for the other areas, preferably within a Conservation Corps or similar organization.
  • Must secure First aid/CPR certification within 30 - 90 days of employment and maintain certification.
  • Working knowledge of young adult development, team-building and motivational techniques.
  • Ability to understand and follow ACE systems and processes including key responsibilities of crew leaders.
  • Computer skills required including professional email etiquette and intermediate knowledge of Google suite or other word processing and spreadsheet programs.
  • Must be flexible and possess a strong work ethic.
  • Ability to maintain a positive, constructive work environment conducive to team performance, maintaining effective working relationships with coworkers and supervisors.
  • Ability to perform work under pressure in a fast-paced environment, manage multiple concurrent responsibilities, and meet deadlines.

Responsibilities

  • Coordinate weekly/bi-weekly menu and food preparation and packing for 10-12 field crews.
  • Oversee the rig-up and de-rig processes to ensure teams are fully equipped for success.
  • Collaborate with team members to develop nutritious meal plans suitable for various crew sizes, locations, dietary needs, and environmental conditions.
  • Purchase bulk food items and ingredients within budget parameters, seeking the best value.
  • Track food purchase costs, waste, and crew member satisfaction with meals.
  • Pack coolers and pantry bins with ingredients and recipes for multi-week field work.
  • Maintain cleanliness and organization of the food bay, managing safe storage of perishables and non-perishables.
  • Support the maintenance and inventory of cook sets and camp kitchen equipment.
  • Assist Crew Leaders with purchasing additional provisions while they are on project.
  • Take a leadership role in maintaining the office and housing, including cleaning supplies and member housing provisions.
  • Work with Facilities staff to order, pick up, and drop off bulk supplies for member housing.
  • Lead Super Scrub cleaning events when assigned.
  • Respond to minor repair and maintenance needs at housing and office locations.
  • Report or escalate concerns regarding housing cleanliness and member conduct.
  • Support the Member Management team with assigning beds/rooms to crew members.
  • Help maintain tent inventory and camp equipment.
  • Support routine maintenance and organization of the warehouse.
  • Assist the team in making alternate housing plans for emergencies.
  • Assist with Orientation training for members, additional logistics, office paperwork, and office maintenance.
  • Enforce the use of appropriate safety procedures in all tasks.
  • Maintain a positive, constructive work environment conducive to team dynamics.
  • Ensure timely and effective communication with crews, colleagues, and supervisors.
