About The Position

The “Logistics Coordinator – Maintenance” ensures a high level of support, service, reliability, and availability to internal departments. This role ensures efficient and effective operations of the section. As a member of the Logistics Team, onsite attendance may be required for (but not limited to) trainings, meetings, and daily operational tasks. This is a fully onsite role based at our Global Central Laboratory in Highland Heights, KY. We welcome applicants from all locations within the US. Please note that relocation assistance is not provided for this position, and any relocation costs will be the responsibility of the candidate. Must be legally authorized to work in the United States without sponsorship. Must be able to pass a comprehensive background check, which includes a drug screening.

Requirements

• High school Diploma or equivalent and relevant formal academic / vocational qualification
• Previous experience that provides the knowledge, skills, and abilities to perform the job (comparable to 2 years)
• Excellent client and phone service skills
• Knowledge of Good Clinical Practices and laboratory principal's pre-analytical, analytic and post-analytic influences on specimens and results
• Intermediate level of computer literacy
• Accurate data entry skills
• Superior analytical, interpersonal and time management skills
• Excellent verbal communications and customer service skills in the English language
• Critical thinking and problem-solving skills to support quality decision making
• Proven negotiation and problem resolution skills
• Maintains confidentiality of client protocols and study data
• Must be legally authorized to work in the United States without sponsorship.

Nice To Haves

• Previous experience with general logistics experience with clinical trials.
• Additional languages are an advantage.

Responsibilities

• Participates in and supports department projects.
• Coordinates, supports, and performs logistics and administrative work to support the department.
• Ensures efficient and effective operations of the section.
• Actively solves problems to ensure timely delivery of both inbound and outbound shipments.
• Facilitates communication with IOR to ensure correct delivery of supply orders to clinical sites.
• Escalates to Project Manager and/or designee when client/IOR is unresponsive and study timelines are impacted.
• Participates in Courier operational meetings and reports to Senior Level/Team Lead/Manager any issue or concern.
• Point of contact for clinical sites for issues and questions related to courier operations, sample pickups or deliveries of supplies.
• Actively arranges pickups and looks for contingencies when sites are unable to work with the assigned courier.
• Supports the Associate Logistics Coordinators_Maintenance with their daily tasks.
• Issues Pro-forma invoice for shipments from kit vendors to sites.
• Maintains the Proforma mailbox, sending proforma invoices to the IOR for approval, making any changes required and release to kit vendor for shipment.
• Maintains courier contact sheets and starter packs for couriers.
• Point of contact for issues and questions related to proforma invoices for supply orders, Starter Packs and Courier Contact Sheets.
• Assists with training on Proforma invoices, mailbox management and interactions with IOR.
• Assists with training on Starter Packs and Courier Contact Sheets.
• Responsible for daily interaction with clients/IOR to ensure correct delivery of supply orders to clinical sites.
• Coordinates the review and action required on custom reports.
• Supports in the investigation and resolution of Quality Events.
