About The Position

The Logistics Assistant is responsible for supporting the logistics team in coordinating the deliveries within a set timeframe and ensuring they are made on time. The Logistics Assistant will also be responsible for communicating with various parties both internally and externally regarding deliveries.

Requirements

  • High school diploma or equivalent, and relevant post-secondary education desirable.
  • Ability to multi-task in a fast-paced environment ensuring deadlines are met.
  • Ability to read, write, and comprehend documentation relevant to the responsibility.
  • Ability to effectively present information in one-on-one and small group situations to employees of the organization.
  • Ability to add, subtract, multiply and divide all units of measure, using whole numbers, common fractions, and decimals.
  • Ability to apply good judgment to rationalize conflicting demands and tight deadlines.
  • Be willing to choose the best option when options are limited.
  • Experience working in a fast-paced environment with tight deadlines.
  • Ability to organize workload for efficient use of time.
  • Ability to function independently.
  • Ability to direct a small group of immediate reports.
  • Excellent telephone skills.
  • Familiarity with computer and applications is essential.
  • Employees working in warehouse operations are required to wear and properly use all essential or required personal protective equipment (PPE) as outlined by their department leader and in accordance with the employer’s safety requirements. This obligation applies to current PPE requirements and any future revisions necessary to maintain compliance with applicable occupational health and safety legislation and regulations.
  • Familiarity with Good Manufacturing (GMP) or applicable Regulatory Guidelines, particularly regarding temperature-controlled storage and handling of pharmaceutical products (a must requirement for Warehouse and Dex employees).

Nice To Haves

  • Previous experience coordinating a high volume of orders is preferred.
  • Solid knowledge of Ontario geographical areas is highly preferred.
  • Experience working in health care is an asset.
  • Forklift experience.

Responsibilities

  • Assess the workload of expected packages by communicating with the intake desk and the assembly area.
  • Use the computer system to view the expected delivery loads.
  • Counsel the intake and assembly areas about workflow, routes, and timing, to optimize the scheduling and routing of deliveries.
  • Establish the areas where packages will be placed for delivery preparation.
  • Determine whether the planned schedules and routes are appropriate for the current situation.
  • Consider availability of the client/customer when the driver’s stops are planned.
  • Contact clients, customers, or internal contacts as required to meet delivery or contract requirements.
  • Determine the shipment method using drivers, delivery services, or couriers.
  • Assign, re-assign, and amend route manifests as required.
  • Use courier on-line services to schedule courier pickups as required.
  • Add the appropriate packing slips and manifests to the packages and compile the packages into a location for loading.
  • Change the drop points for transfers as required.
  • Determine the work loading of the drivers.
  • Add drivers to specific routes as required to meet workload.
  • Coordinate transfer of packages between driver and routes in case of non-deliverables.
  • Facilitate the pickup of pumps and waste as required.
  • Participate in Bayshore’s ability for customers to determine order and delivery status.
  • Review driver submissions, such as manifests, time sheets, GPS travel records, and delivery reports to check for accuracy and consistency.
  • Data enter information into Bayshore computers using various software for order tracking and KPI’s (key Performance Indicators) and customer requirements.
  • Participate and contribute to the documentation requirements of ISO.
  • Willingness to work for extended periods in cold environments (walk-in coolers) while handling and packaging pharmaceutical products.
  • Ability to maintain focus, attention to detail, and adherence to GMP or applicable regulatory guidelines, while working in temperature-controlled settings.
  • Physical stamina to handle repetitive tasks in cooler conditions, including the use of appropriate PPE.
