About The Position

Manages the workflow of and provides administrative support to the Loan Documentation team. Aligns daily activities with departmental priorities by coordinating task distribution, maintaining documentation, and supporting internal processes. Supports the Retail, Commercial, and Ag lending business lines. Serves as a subject matter expert on the loan documentation system functionality, regulatory compliance, and documentation strategy. Collaborates across departments to ensure accuracy, consistency, and efficiency in document generation and system integration.

Nice To Haves

• Basic understanding of banking principles and financial services is preferred.
• 4+ years of experience in banking, loan processing, or general office administration is preferred.
• Experience with LaserPro and familiarity with Credit Bureau reporting is a plus

Responsibilities

• Serves as a subject matter expert in loan documentation processing by providing strategic guidance, ensuring accurate execution of complex loan functions, and influencing process design.
• Represents the team during cross-functional initiatives by advising on regulatory and system changes.
• Mentors peers and supports team development through training, cross-training, and collaboration.
• Monitors regulatory adherence, proactively resolves operational issues, and ensures consistency and compliance across high-impact workflows.
• Leads integration efforts between the loan documentation system and the core system, manages system upgrades, and supports application testing to ensure data integrity and accurate functionality.
• Identifies recurring issues, recommends and implements process improvements, and maintains departmental procedures.
• Manages daily team operations by assigning tasks based on workload, skill set, and priorities.
• Uses workflow tracking tools and regular check-ins to monitor progress, resolve bottlenecks, and ensure timely completion of assignments.
• Support compliance by maintaining accurate records, upholding document retention practices, and preparing for audits through proactive monitoring and documentation.
• Reviews exception and reconciliation reports to detect and resolve data or transaction discrepancies.
• Collaborates with team members and other departments to investigate issues and implement corrective actions.
• Compile and organize supporting documentation for audits and exams.
• Leads departmental projects by developing project plans, setting timelines, and coordinating resources to implement system enhancements and process changes.
• Serves as a subject matter expert, providing insights and feedback during planning and testing phases.
• Facilitates communication between stakeholders and documents outcomes to ensure smooth transitions and successful adoption of changes.
• Continuously evaluates daily operational workflows and tools to identify inefficiencies and recommend improvements.
• Stays informed on industry trends and system capabilities, applying this knowledge to streamline operations.
• Creates and updates detailed departmental procedures to ensure consistency and support training efforts.
• Maintains templates, parameters, and system settings of specialized loan documentation software.
• Learns and apply technical skills to configure tools effectively and troubleshoot issues.
• Coordinates with external vendors to integrate services, resolve problems, and ensure alignment with internal standards and timelines.
