About The Position

This job is responsible for managing collateralized debt obligations and issue tracker reports to perfect, monitor and release the bank's collateral. Key responsibilities include maintaining control of the bank's collateral through accurate booking on the system of record (SOR). Job expectations include setting up and standardizing collateral files, preparing and reviewing tickler and exception tracking data, reviewing insurance adequacy, monitoring evidence of insurance and maintaining and/or releasing lien position for collateral. The Loan Administrator monitors and actively manages outstanding collateral and loan documentation exceptions resulting from new loan originations and modifications. This role researches exceptions, follows up with business partners to obtain missing or corrected documentation, validates received documents for accuracy and completeness, and coordinates exception clearance with Collateral Booking to reduce risk exposure and ensure timely resolution of outstanding items.

Requirements

  • Previous banking experience with credit, legal, insurance, or collateral-related documentation.
  • Ability to identify, review, and interpret commercial loan documentation, including UCC filings, recorded documents, insurance documentation, and collateral-related instruments.
  • Strong understanding of documentation requirements and the ability to validate the completeness, accuracy, and sufficiency of a broad range of document types.
  • Proficient in Microsoft Office applications, including Word, Excel, PowerPoint, and SharePoint, with the ability to organize, analyze, and communicate information effectively.
  • Resourceful and analytical problem solver who can investigate complex issues, operate effectively in ambiguous situations, and escalate concerns appropriately when needed.
  • Ability to communicate appropriately with a variety of internal business partners (credit, sales, legal, etc.) and external contacts (clients, attorneys, insurance companies, title companies, etc.).

Nice To Haves

  • Prior experience in commercial lending, collateral management, loan servicing, documentation review, or exception management.
  • Working knowledge of systems such as Loan IQ, Credit Center, GFS, Lien Solutions, and EDR.
  • Microsoft Excel skills a plus

Responsibilities

  • Maintains data accuracy and completes all collateral processes timely
  • Receives incoming loan files and reviews for compliance with bank and federal guidelines
  • Maintains relationships with Relationship Administrators to ensure efficient and high-quality loan processing
  • Gives technical advice and guidance to business units and interdisciplinary teams on projects
  • Maintains systems of record for continued monitoring of collateral and insurance
  • Works in a paperless environment and adheres to compliance guidelines
  • Promotes collaboration and communicates with impact; learns and adapts quickly; holds self and others accountable for high performance standards
  • Navigates and researches across multiple systems of record (Loan IQ, Credit Center), workflow applications, online public records, and SharePoint-based tracking tools to support exception resolution activities.
  • Manages a portfolio of collateral and documentation exceptions by monitoring inventory, assessing risk and exposure, prioritizing work based on due dates, and driving timely resolution through consistent follow-up.
  • Reviews credit approvals, loan documentation, UCC filings, security agreements, title information, and other collateral records to assess exception validity, identify potential risk to the Bank's collateral position, and determine appropriate resolution paths.
  • Analyzes collateral perfection, lien priority, and documentation requirements to support compliance with approved credit terms, policy requirements, and regulatory standards.
