About The Position

The LMS Administrator serves as the primary system administrator and subject matter expert for the organization's Workday Learning platform. This role is responsible for the configuration, administration, governance, optimization, reporting, and ongoing support of enterprise learning technologies. The LMS Administrator partners closely with Learning, Talent Management, IT, Operations and business stakeholders to deliver effective learning solutions, maintain data integrity, support compliance requirements, and drive an exceptional learner experience. This position provides advanced Workday Learning administration, reporting and analytics, troubleshooting, learning program deployment, and support for system enhancements, integrations, and continuous improvement initiatives. The role requires extensive knowledge of Workday Learning functionality, learning operations, data management, business processes, and enterprise learning best practices.

Requirements

  • Bachelor’s degree in Informatics, Information Technology, Instructional Design, Education, Business Administration, Human Resources or related fields. • Direct work experience will be considered in lieu of a degree.
  • 3+ years of direct experience in Learning Management System (LMS) administration.
  • Significant experience or certification in using Workday Learning LMS.
  • Advanced knowledge of Workday Learning administration, including learning assignments, certifications, learning campaigns/engagements, course management, learner audiences, security roles, and learning compliance processes.
  • Demonstrated experience administering and optimizing enterprise Learning Management Systems (LMS), including system configuration, user support, reporting, governance, and continuous improvement initiatives.
  • Strong understanding of learning technologies and standards, including SCORM, xAPI, online learning content deployment, learning pathways, certifications, and compliance based training programs.
  • Experience supporting Workday Learning implementations, system enhancements, tenant testing, release management, data migration, and post-implementation optimization activities.
  • Working knowledge of Workday Enterprise Interface Builder (EIB), data imports, mass uploads, integrations, and related data management processes.
  • Ability to build, analyze, and maintain reports, dashboards, and learning analytics to support business decisions, compliance requirements, and learning effectiveness measurement.
  • Knowledge of HRIS and learning system integrations, with an understanding of APIs, data exchanges, and enterprise system architecture.
  • Strong analytical and troubleshooting skills with the ability to identify root causes, resolve complex technical issues, and recommend scalable system solutions.
  • Excellent verbal and written communication skills, including the ability to explain technical concepts clearly, develop system documentation, and effectively collaborate with stakeholders at all organizational levels.
  • Proven ability to establish and maintain LMS governance standards, administrative procedures, documentation, and quality controls that ensure data integrity and system consistency.
  • Experience managing multiple priorities, projects, and system-related initiatives while maintaining accuracy, organization, and attention to detail.
  • Self-motivated and highly accountable, with the ability to work independently, exercise sound judgment, and take ownership of system performance and user experience.
  • Demonstrated ability to build strong partnerships across Learning & Development, Talent Management, IT, Operations, and business stakeholder groups.
  • Proficiency with Microsoft Office applications, particularly Excel, Word, and PowerPoint, as well as reporting and data analysis tools such as Workday Reporting, Sigma, Power BI, Tableau, or similar platforms.

Nice To Haves

  • Workday Learning certifications highly desired.
  • Experience with Workday HRIS and API integrations.
  • Experience with Docuware and Sigma to store and analyze data.
  • Troubleshooting skills and knowledge of deeper LMS functionalities.
  • Preferred certifications are desired and include, but are not limited to: Instructional Design, eLearning development, or print design (e.g., ATD, Articulate, Adobe Captivate), Information Technology (e.g., CompTIA, SQL)
  • Experience with instructional design and eLearning authoring tools such as Articulate Storyline, Rise, Vyond, Adobe Captivate, or similar solutions is preferred.
  • Commitment to continuous learning and staying current on Workday functionality, learning technology trends, industry best practices, and emerging workforce development solutions.

Responsibilities

  • Serve as the primary system administrator and subject matter expert for the Workday Learning platform.
  • Configure, maintain, and optimize Workday Learning functionality, including learning assignments, certifications, learning campaigns, learner audiences, security roles, business processes, and system settings.
  • Establish and maintain LMS governance standards, system documentation, administrative procedures, and quality controls to ensure data integrity, security, compliance, and consistency.
  • Evaluate, test, and implement Workday releases, new functionality, and system enhancements to improve organizational learning capabilities and user experience.
  • Ensure compliance with organizational, regulatory, and audit requirements related to learning records and training documentation.
  • Administer enterprise learning programs, compliance training, certifications, curricula, learning pathways, and other learning initiatives within Workday Learning.
  • Create, publish, update, archive, and maintain instructor-led, virtual, blended, and eLearning content while ensuring accurate course data, metadata, version control, and user accessibility.
  • Partner with Learning & Development, Talent Management, IT, Operations and other business stakeholders to deploy and support learning solutions that align with organizational goals and enhance learner engagement.
  • Develop, maintain, and distribute reports, dashboards, and analytics to monitor learning participation, compliance, completion rates, certifications, adoption, and program effectiveness.
  • Analyze learning and system data, perform audits, and manage data maintenance activities to ensure accuracy, compliance, and actionable business insights.
  • Identify opportunities to improve learning operations through automation, process improvements, workflow optimization, and system enhancements.
  • Support integrations, data exchanges, imports, and maintenance activities between Workday Learning and other enterprise systems, including Workday HCM.
  • Serve as the primary escalation point for complex system issues, performing troubleshooting, root cause analysis, and solution implementation in partnership with IT, vendors, and any other business stakeholders.
  • Monitor system performance and user experience metrics and recommend improvements that increase efficiency, scalability, and adoption.
  • Consult with stakeholders to understand business requirements and translate learning needs into scalable Workday Learning solutions.
  • Provide training, guidance, and support to administrators, managers, instructors, and learners on Workday Learning functionality and best practices.
  • Lead or participate in projects related to LMS implementations, upgrades, migrations, enhancements, and continuous improvement initiatives.
  • Maintain current knowledge of Workday Learning capabilities, learning technologies, industry trends, and best practices.
