About The Position

We are a national event production company seeking a Project Manager on a freelance/contract basis for the fall-winter season. The Project Manager will be responsible for the successful execution of their project scope, including client intake, stakeholder communication, proposal design and pricing, site visits, team management, and profit & loss reporting. The role requires a positive attitude, a focus on quality, and the ability to work remotely, from the office, or on client sites. This position reports to the Director of Production - Creative Services.

Requirements

  • Bachelor’s degree (or equivalent experience)
  • 4+ years of relevant experience in event planning and account management.
  • Minimum 1 year in scenic, woodwork, metalwork, or prop shop experience.
  • Expert-level written and verbal communication skills.
  • Polished, professional demeanor; projects confidence and enthusiasm for the business.
  • Proven success in a client-facing capacity.
  • Demonstrated history of establishing and maintaining effective working relationships across a diverse cross-functional team.
  • Must be proactive with the ability to work both independently and with multiple teams.
  • Organized with the ability to prioritize and manage time efficiently with close attention to detail.
  • Ability to work on strict deadlines and in high-pressure situations.

Nice To Haves

  • Demonstrated knowledge of Scenic Carpentry, Scenic Painting, Printing, and Metalwork, as it relates to the production of elements for an event.
  • Working knowledge of Google Office Suite.
  • Working knowledge of Asana (bonus) or similar project management software.
  • Working knowledge of Flex Rental Solutions (bonus).
  • Working knowledge of Basic drafting software (SketchUp, Vectorworks, Illustrator, CAD).

Responsibilities

  • Participate in client intake calls as a subject matter expert.
  • Spearhead communication between internal and external stakeholders.
  • Partner to design and price project proposals.
  • Attend site visits.
  • Build and manage on-site teams.
  • Maintain profit & loss reporting by project.
  • Manage a project with an emphasis on clear communication, efficiency, and profitability.
  • Attend site visits with customers to develop floor plans and finalize build details.
  • Maximize the profitability of each project without sacrificing the primary goal of delivering a World-Class customer experience.
  • Develop winning Projects that align with the client’s objectives and creative vision.
  • Create comprehensive quotes that reflect the outcomes narrative.
  • Partner with Members of all departments as Cross-functional Teams to meet and exceed our clients’ expectations.
  • Ensure each project has secured a signed quote or contract, been properly invoiced, and paid per the approved payment terms.
  • Ensure all expenses related to each job are accurately reported and correctly reconciled promptly.
  • Ensure all builds and deliverables are on time and within budget.
  • Inform your supervisor of potential problems or opportunities to improve the project.
  • Provide communication with fast response times to the client and other stakeholders.
  • Provide an exemplary experience for our customers, vendors, and all stakeholders.
  • Train others to make correct decisions based on accepted quality standards, policies, and procedures.
  • Delegate details as necessary, with follow-up on timeliness and quality to ensure quality standards are met.
  • Engage in creative problem-solving and innovation across varied areas of scenic, prop, and print fabrication.
