The Litigation Paralegal Coordinator will work closely with the Litigation Paralegal Manager and assist with the administrative management, recruiting, training, staffing, mentoring and professional development of the Litigation Paralegals. This role ensures the litigation paralegal team provides effective and efficient support to lawyers and the firm’s clients by assigning and tracking workflow, maintaining quality standards, and fostering communication between paralegals and case teams.

Requirements

  • Bachelor’s degree with a minimum of two (2) years paralegal experience with significant experience working on multi-party, complex litigation and/or arbitrations
  • Strong collaboration and teamwork skills as well as ability to produce independently with excellent results and accuracy in work product
  • Superior detail orientation, written and verbal communication, organization, problem-solving and time management skills
  • Well-versed understanding of The Bluebook and proficiency in applying its rules and standards of citation
  • Ability to handle pressure, long hours, prioritize effectively and manage multiple deadlines, and adapt to changing priorities and interruptions
  • Strong leadership, decision-making, and communication skills
  • Flexibility to work overtime and travel as needed
  • Ability to handle confidential information and materials with care and discretion.

Responsibilities

  • Delegate work assignments and monitor paralegal workloads and quality of work
  • Communicate and enforce policies
  • Provide input regarding hiring and performance reviews
  • Work closely with HR and the Litigation Paralegal Manager on recruiting efforts
  • Coordinate with HR and Litigation Paralegal Manager in developing job descriptions
  • Assist with resume review, candidate selection and interviewing litigation paralegal candidates
  • Coordinate transition logistics when paralegals depart, including reviewing open case lists, collecting final materials, and facilitating knowledge transfer to incoming paralegals
  • Assist with preparing for and administering onboarding for newly hired Litigation Paralegals
  • Train paralegals on specific duties and responsibilities related to case administration and projects
  • Oversee continuing paralegal education trainings and mentoring programs to support paralegal development, performance and utilization
  • Collaborate with other firm departments for training and programming as needed
  • Assist in the development and regular updates of the Litigation Paralegal internal resource website
  • Coordinate with external service providers for trainings and other service needs
  • Act as a liaison between the paralegals and attorneys to promote effective utilization
  • Ensure compliance with firm policies
  • Use judgement to determine when an issue requires escalation
  • Coordinate work assignments and monitor the team’s staffing portal; maintain current information regarding workloads and work capabilities of all Litigation Paralegals
  • Periodically review individual paralegal case lists to identify inactive or closed matters
  • Maintain team calendars including Flex Work, PTO, Court Filing, and Hearing Calendars
  • Conduct monthly check-in meetings with all Litigation Paralegals
  • Schedule regular Litigation Paralegal Group Meetings and prepare agendas for same
  • Review, track, and approve timesheets and diary reports for Litigation Paralegals
  • Perform timekeeping duties as necessary
  • Analyze and prepare statistical data for monthly profitability and productivity metrics
  • Monitor the team’s productivity for optimized utilization
