About The Position

A prominent law firm is seeking an experienced Litigation Legal Support Specialist to join its West Palm Beach office. This is a confidential search for a highly skilled legal support professional who thrives in a fast-paced, deadline-driven environment and is comfortable supporting attorneys on sophisticated litigation matters. The ideal candidate is proactive, highly organized, detail-oriented, and capable of managing competing priorities with discretion and sound judgment. Strong communication and problem-solving skills are essential, along with a client-service mindset and the ability to anticipate attorney and team needs. This position is based in the firm’s West Palm Beach office and requires regular in-office presence for day-to-day operations, team collaboration, training, and relationship building. The Litigation Legal Support Specialist will provide high-level administrative and legal support to a team of attorneys. The position encompasses complex document preparation and processing, case and file management, attorney administrative support, and coordination with clients, courts, opposing counsel, and internal teams. The successful candidate will take ownership of the day-to-day professional support needs of assigned attorneys while maintaining a high degree of accuracy, responsiveness, professionalism, and confidentiality. Flexibility to work overtime as business needs require is expected.

  • Minimum of 4 years of relevant law firm experience, preferably supporting a litigation practice.
  • Knowledge of applicable legal procedures, court rules, and filing requirements, including state and federal electronic filing procedures.
  • Advanced proficiency with Microsoft Office applications, including Word, Outlook, Excel, and PowerPoint.
  • Experience with document management systems; iManage experience strongly preferred.
  • Comfort working with legal and office technology platforms.
  • General understanding of the capabilities, limitations, confidentiality considerations, and responsible use of artificial intelligence in a professional environment.
  • Familiarity with, or willingness to learn, approved AI productivity tools such as Microsoft Copilot, ChatGPT, or comparable platforms.

Responsibilities

  • Coordinate the preparation, editing, proofreading, formatting, and processing of legal documents, including correspondence, memoranda, pleadings, and other litigation-related materials.
  • Maintain and organize electronic and paper legal files in accordance with established procedures.
  • Update case information and scan, organize, and maintain case documentation.
  • Coordinate document deliveries and track final and executed documentation.
  • Manage incoming telephone calls for assigned attorneys, appropriately handling inquiries, taking messages, and directing communications.
  • Communicate professionally with clients, opposing counsel, courts, and other external parties.
  • Collaborate with paralegals, administrative support professionals, and other members of the legal support team.
  • Identify and utilize appropriate firm resources to efficiently address attorney and client needs.
  • Assist with overflow assignments, team initiatives, and special projects as needed.
  • Provide administrative support to assigned attorneys, including time entry, travel arrangements, invoice processing, and expense reporting.
