About The Position

Kaufman & Canoles is seeking a full-time Litigation Legal Assistant for its Virginia Beach office to provide administrative and client-service support to attorneys and clients.

Requirements

  • Three or more years of litigation legal assistant or legal secretary experience in a law firm or legal department environment preferred.
  • High school diploma or equivalent required.
  • Strong knowledge of litigation procedures, legal terminology, court rules, docketing practices, and electronic court filing systems.
  • Proficiency with Microsoft Office, document management systems, time-entry platforms, PDF software, and other commonly used legal technology.
  • Excellent written and verbal communication skills, including strong proofreading, grammar, and editing ability.
  • Demonstrated ability to manage multiple attorneys, priorities, deadlines, and assignments with accuracy and professionalism.
  • Strong attention to detail, organizational skills, follow-through, and sound judgment.
  • Ability to work independently and collaboratively in a team-oriented environment.
  • Professional demeanor and strong client service orientation.
  • Ability to handle confidential and sensitive information with discretion.

Nice To Haves

  • Associate degree, bachelor’s degree, paralegal certificate, or related legal training preferred.
  • Commercial Real Estate experience is beneficial.

Responsibilities

  • File documents electronically with state and federal courts, ensuring compliance with applicable court rules, procedures, and deadlines.
  • Maintain attorney calendars, including court deadlines, hearings, depositions, meetings, conferences, and other case-related dates.
  • Organize and maintain electronic and paper case files, pleadings, discovery materials, exhibits, correspondence, and client documents.
  • Assist with discovery, including preparing discovery requests and responses, organizing document productions, tracking deadlines, and coordinating with attorneys and paralegals.
  • Coordinate depositions, hearings, mediations, arbitrations, and trial preparation, including scheduling, notices, exhibits, binders, witness materials, and logistics.
  • Communicate professionally with clients, courts, opposing counsel, vendors, experts, and internal team members.
  • Track, prioritize, and follow up on assignments to ensure timely completion of case-related tasks.
  • Assist with opening new matters, conflict checks, engagement letters, closing files, and other administrative processes as needed.
  • Enter, review, and submit attorney time, expense reimbursements, invoices, and other billing-related information as assigned.
  • Maintain confidentiality of client and firm information and comply with all firm policies and ethical obligations.
