About The Position

The Department of Economic Security (DES), Division of Developmental Disabilities (DDD), is seeking an experienced and highly motivated individual to join their team as a Life Safety Scheduler. DDD provides individuals with developmental disabilities, and their families, services and supports that are flexible, high quality, and member driven. These services provide individuals with opportunities to exercise their rights and responsibilities of independent decision-making and engagement in the community. Applicants for this position cannot be licensed or certified by the DDD Office of Licensing Certification and Regulation, cannot have a principal interest in or have spouse or close family with principal interest in a DDD Qualified Vendor Agreement, and cannot be employed or subcontracted by a DDD Qualified Vendor. Requirements

  • Principles and practices of administration, management, or program rules, regulations and operating procedures
  • Written communication sufficient to create letters, memos and emails
  • Computer software programs (Web-based applications, MS Excel, MS Word, MS Outlook, and Google Docs)
  • Excellent organization and workload management, including, but not limited to organizing documents and reports
  • Interpersonal relations and conflict resolution; analytical skills to assess and prioritize projects
  • Strong computer skills include accurate data entry and database software programs
  • Ability to work without direct supervision and be detail oriented
  • Ability to organize a high volume of incoming documents, prioritize work, and stay on task
  • Ability to establish and maintain working relationships with colleagues, staff, other departments and the public at large
  • Ability to learn and apply federal and state laws, regulations and policies; adapt new policies, procedures and technologies

Nice To Haves

  • Three (3) years of responsible administrative experience; or a Bachelor’s degree in business
  • Knowledge of internet-based data systems (e.g. Quick Connect and Focus) is preferred

Responsibilities

  • Scheduling life safety inspections by phone and/or email
  • Updating and entering information into the electronic database system
  • Ensuring inspections are scheduled within required timeframes
  • Reviewing upcoming inspections and prioritizing based on due date and geographical location
  • Answering questions regarding life safety inspection procedures
  • Completing special projects and providing administrative support such as scheduling appointments or meetings, answering incoming calls, and assisting with mailings
  • Receiving, organizing, maintaining electronic data, and preparing reports for management
  • Monitoring email inboxes and directing incoming correspondence to the correct staff
