About The Position

Pan-American Life Insurance Group (PALIG) is seeking a detail-oriented Licensing Specialist to join our Contracting & Licensing team. Serving as a critical partner to our sales and distribution organizations, this team is responsible for ensuring agents are properly licensed, contracted, appointed, and positioned for success across our insurance operations. In this role, you will support the end-to-end licensing and contracting process for insurance producers, helping maintain regulatory compliance while delivering an exceptional experience for agents and internal stakeholders. Working under the guidance of the Manager or Senior Licensing Specialist, you will coordinate licensing, appointments, and producer contracting activities; process and validate required documentation; maintain accurate records within administrative systems; and support ongoing compliance requirements, including Errors & Omissions (E&O) coverage, updating W9's, Anti-Money Laundering (AML) training, and tax documentation. The ideal candidate is highly organized, customer-focused, and enjoys working in a fast-paced environment that requires attention to detail and strong problem-solving skills. Ideally, candidates to be based locally to our Oak Brook, IL. office.

Requirements

  • High School diploma, or equivalent
  • 2 years previous experience working within the insurance industry
  • experience with computer applications
  • Excellent Microsoft Office Suite skills.

Nice To Haves

  • bachelors degree preferred
  • Life Insurance and appointment & licensing experience preferred
  • LOMA 281 and 291 Level 1 preferred
  • Bilingual in English and Spanish, highly preferred

Responsibilities

  • Quality Assurance on New Agent Set Up
  • Review and prepare incoming contracts for input into electronic workstream.
  • Contact producers for missing documents.
  • Follow Contracts & Licensing checklists and workflow items that are required.
  • Process a high volume of work within established accuracy and time goals.
  • Agent Administration & Evidences: Review and analyze error notices on new policy applications.
  • Notify agents of licensing, E&O, and AML requirements needed to issue policies.
  • Advise New Business area of actions to take to resolve error messages.
  • Manage and handle items through completion.
  • Process Agent Licenses & Appointments: Performs necessary transactions to process state licensing, including payment of fees to state insurance departments for appointments
  • Complete Agent Terminations: Upon notice of an agent termination, send termination letters, terminate the agent record and state appointments in all systems as required.
  • Provide Assistance for Basic & Standard Issues: Communicate with agents, field force, state insurance departments, and vendors via telephone, correspondence, and electronic communication on standard and non-complex requests and changes.
  • Communicate with other departments, including ACS, Marking, and Accounting to carry out tasks directly related to Contracting.
  • Ensure adherence to phone service standards and schedule.
  • Prepare Reports for Management & Agents: Maintenance of files including but not limited to appointment submissions, hierarchy changes, name and address changes and updating agent banking information.
  • Demonstrate flexibility and responsiveness to the Manager, seek solutions for roadblocks and stumbling blocks, partner with other areas to find efficiencies.
