We are seeking an organized and independent Licensing Coordinator to join our legal team in our corporate office located in Hanover, MD. The Licensing Coordinator is responsible for managing and maintaining company licenses, registrations, and related regulatory filings across jurisdictions. This role ensures the organization remains compliant with all applicable licensing requirements by tracking renewals, coordinating applications, and supporting internal stakeholders with licensing-related matters.

Requirements

  • Bachelor’s degree preferred (or equivalent experience in legal, compliance, or administrative roles)
  • Experience with licensing, corporate compliance, or regulatory filings preferred
  • Strong organizational skills with the ability to manage multiple deadlines across jurisdictions
  • Excellent attention to detail and accuracy in documentation and filings
  • Strong written and verbal communication skills
  • Ability to work independently and collaborate across departments
  • Proficiency in Microsoft Office (Excel, Word, Outlook)

Nice To Haves

  • Experience in construction, engineering, or multi-state operations
  • Familiarity with Secretary of State filings, contractor licensing, or professional licensing requirements

Responsibilities

  • Maintain and track all company licenses, registrations, and permits across multiple jurisdictions
  • Prepare, submit, and monitor license applications, renewals, and amendments in a timely manner
  • Coordinate with internal stakeholders (legal, HR, operations, and finance) to gather information required for licensing filings
  • Serve as the primary point of contact for licensing-related inquiries and communications with regulatory agencies
  • Monitor changes in licensing requirements and regulations, and escalate compliance risks as needed
  • Maintain accurate and organized licensing records, databases, and documentation
  • Support audits and compliance reviews by providing licensing documentation and status updates
  • Assist with corporate registrations, entity filings, and qualifications to do business in new jurisdictions
  • Identify process improvements to streamline licensing tracking and reporting
