About The Position

Raymond James Ltd. is seeking an experienced Licensed Assistant to work in their Barrie office. This is a permanent full-time position with a competitive compensation and benefits package. The role involves providing comprehensive administrative services to a Portfolio Manager, the entire team, and clients, and ensuring the smooth operation of administrative processes and client account management.

Requirements

  • Industry CSC licensing is mandatory.
  • Three years experience as an IR in the industry.
  • Securities license in good standing.
  • Minimum 3 years’ experience working within the Financial Services industry as an IR.
  • Able to provide constructive suggestions and ideas to improve client’s experience with our office.
  • Great organizational skills and a dependable nature to meet deadlines.
  • The ability to organize year’s reoccurring tasks.
  • Excellent verbal and written communication skills.
  • The ability to follow and execute well-laid-out business processes.
  • The ability to work in a team environment and demonstrate a professional and friendly manner.

Responsibilities

  • Execute administrative processes and systems.
  • Monitor client accounts and maintain client files.
  • Scan all client documentation to central server files.
  • Welcome clients into the office and attend to their requests.
  • Follow through with the Master Calendar for monthly/yearly actions.
  • Support the pre-trade process for all PM trades.
  • Assist in planning, organizing, and executing client and charitable events.
  • Review marketing processes including social media, ads, client cards, and milestone recognition.
  • Gain an overview of US domiciled account systems and processes.
  • Prepare client reports and files ahead of Advisor client meetings.
  • Manage account cash holdings and ensure they are always invested, earning top rates.
  • Follow up with GIC maturities and work with clients to ensure cash investments match timeframes and objectives.
  • Work with the team to identify areas for specialized support.
  • Prepare follow-up notes for the team to take action and ensure all tasks are completed before filing.
  • Support quarterly review report preparation with the team.
  • Perform periodic safety and light office duties, including clearing walkways and salting in winter.
  • Ensure the office is clean and maintained to high standards before client meetings.
  • Perform minor troubleshooting and software updates for office computers, fax, and copier.
