About The Position

The Lending Assistant supports Retail and Small Business Lending Officers by coordinating the administrative, operational, and documentation needs of loans. This role manages the loan process from origination through closing, prepares loan packages, facilitates communication between clients and internal teams, and helps ensure timely, compliant documentation. The ideal candidate has strong attention to detail, excellent organizational skills, effective oral and written communication skills, is customer service oriented, and has a solid understanding of lending products and procedures.

Requirements

  • Minimum 2 years of customer service experience in banking or related field.
  • High School Degree or GED
  • A high level of professionalism, confidentiality, organization, and customer service is essential in this role.
  • The Lending Assistant regularly interacts with customers, Lending Officers, and internal departments while supporting the loan process from origination through closing.
  • Strong communication, problem-solving, and interpersonal skills are necessary to effectively coordinate loan documentation, manage multiple priorities, ensure accurate and timely processing, and provide exceptional service through in-person, telephone, and digital communication channels.
  • Ability to work effectively in a team environment, collaborating with loan officers and other staff members.
  • Maintain a high level of professionalism and confidentiality in client interactions.

  • Is able to bend, sit, and stand in order to perform primarily sedentary work with limited physical exertion and occasional lifting of up to 10 lbs.

  • Must be able to operate routine office equipment including computer terminals and keyboards, telephones, copiers, facsimiles, and calculators.
  • Must be able to routinely perform work on a computer for an average of 6-8 hours per day, when necessary.

  • Must be able to perform job functions independently or with limited supervision and work effectively either on own or as part of a team.
  • Must be able to read and carry out various written instructions and follow oral instructions.

Responsibilities

  • Collect applicant information and order due diligence items such as UCC and lien searches, title work, appraisals, evaluations, flood determinations, and credit reports.
  • Coordinate with lending, credit, document prep, loan operations, and post-close teams to support timely processing, closing, and delivery of required documentation.
  • Assists the lenders with loan closings by printing and organizing document packages prepared by the loan doc prep department.
  • Prepares debit and credit entries for invoices and fees and for advances, payments and wire transfers requested by customers.
  • Track loan maturities and renewals, ensuring proactive follow-up.
  • Works on collateral and technical exceptions on loans.
  • Maintain files and records for active and prospective loan relationships.
  • Serve as a point of contact for loan clients regarding document requests, payments, and routine inquiries.
  • Schedule and coordinate meetings for lenders and provide customer support to lending customers.
  • Correspond with applicants and customers on a routine basis.
  • Works closely with loan doc prep and post close departments to ensure that all preliminary and final documentation is delivered in a timely manner, including any flood requirements and title work requirements.
  • Scans executed new and renewed loan documents to the imaging system for processing by the post close department.
  • Notify Lenders of daily NSF’s and processes accordingly.
  • Assist Lenders with weekly loan Past Due Report.
  • Processes outgoing mail and distributes incoming mail.
  • Must comply with applicable laws and regulations, including but not limited to, the Bank Secrecy Act, the Patriot Act, and the Office of Foreign Assets Control.
