About The Position

Lathrop GPM, one of the nation's leading law firms, has an immediate opening for a Legal Support Team Assistant (LSTA) in our Minneapolis, MN location. The Legal Support Team Assistant, under direct supervision of the Supervisor of Administrative Services, provides administrative assistance to legal support teams in the Legal Administrative Assistant group. The Legal Support Team Assistant works collaboratively and cooperatively with others in the office and throughout the firm. Requirements

  • High School Diploma or equivalent
  • One year prior professional office experience
  • Well organized and detail-oriented
  • Ability to communicate effectively and professionally, both orally and in writing, with colleagues, clients, and vendors, using sound judgment, tact, and exceptional attention to grammar, punctuation, and overall written quality
  • Strong aptitude and understanding of basic PC and Software applications, including the ability to effectively utilize MS Outlook, Word, Adobe or PDF Pro, and other designated database systems
  • Ability to edit and proofread documents
  • Ability to work in a fast-paced environment with changing work priorities while simultaneously managing multiple tasks
  • Ability to problem-solve.
  • Excellent interpersonal, verbal and written communication skills, including the ability to communicate effectively in a virtual environment (e.g., via phone, web/videoconference).
  • Ability to concentrate on tasks, make decisions and work calmly and effectively in a high-pressure, deadline-orientated environment.

Responsibilities

  • Utilize BigHand to receive, prioritize, track, and manage work requests in accordance with established workflows and service standards.
  • Ensure work requests are routed appropriately and completed accurately within established deadlines.
  • Maintain accurate and timely status updates to support workflow visibility, efficiency, and service excellence.
  • Collaborate with team members to balance workloads and ensure timely completion of assigned tasks.
  • Monitor and follow up on open requests to ensure deadlines, quality standards, and service expectations are met.
  • Communicate effectively through BigHand and other firm systems to clarify requests, provide updates, and support a team-based service model.
  • Draft routine correspondence and assist with proofreading and editing legal documents for accuracy, formatting, and completeness.
  • Assist with document and matter management functions, including electronic filing, file opening and closing, conflict check processing, matter intake, engagement letter preparation, and maintenance of client and contact information.
  • Prepare expense reimbursements and process invoice payments.
  • Enter, review, and edit attorney time entries in the firm's timekeeping system.
  • Coordinate travel arrangements, schedule appointments, conference calls, meetings, and conference room reservations.
  • Assist with major mailings, filings, and closings by organizing materials, preparing copies, assembling binders, and coordinating related administrative tasks.
  • Sort, scan, distribute, and route incoming mail and electronic correspondence.
  • Perform other duties and special projects as assigned.
