About The Position

Baker, Donelson, Bearman, Caldwell, & Berkowitz, PC, a law firm with over 650 attorneys throughout the United States, has an opening for a Legal Support Assistant in our Iselin, NJ (Metropark) office. This role requires physical presence in the office as an essential duty. The position involves a variety of administrative and support tasks within a law firm environment, including client interaction, document preparation, file management, and coordination with internal and external parties.

Requirements

  • Ability to transcribe legal documents, correspondence and reports from rough draft, dictation, or transcription at least 65 wpm.
  • Ability to organize and prioritize numerous tasks and complete them under time constraints.
  • Ability to proofread typed material for grammatical, typographical or spelling errors.
  • Interpersonal skills necessary in order to communicate by phone and in person and follow instructions effectively with a diverse group of clients, attorneys and staff and provide information with ordinary courtesy and tact.
  • Work occasionally requires a high level of mental effort and strain when producing a high volume of information.
  • Work occasionally requires more than 40 hours per week to perform the essential duties of the position; may require irregular hours.
  • Must provide minimum authorization to work in the United States.

Responsibilities

  • Greets clients and other office visitors.
  • Handles parking validations.
  • Maintains neatness of reception, conference room and visiting attorney office areas.
  • Coordinates conference room scheduling and event planning with Office Coordinator.
  • Maintains office supply and pantry inventory.
  • Submits invoices for payment.
  • Inputs work orders with property management.
  • Assists Office Administrator with vendor issues.
  • Provides services such as duplication, printing, scanning, mailing.
  • Proofreads all work for accurate content and context.
  • Prepares expense reports and check requests.
  • Assists with client bills.
  • Prepares engagement letters, invoices, and other case administration documents as needed, at direction of either attorney or paralegal.
  • Prepares and maintains client and office files both in electronic and paper filing systems.
  • Liaises with third party vendors when necessary to coordinate services.
  • Performs data entry, which includes inputting clients' personal biographic or corporate information into firm software.
  • Schedules and coordinates meetings and conferences which may include distribution of materials.
  • Coordinates and schedules travel arrangements which include: transportation, automobile rentals, and hotel reservations.
  • Accurately inputs attorney time into the accounting system when necessary.
