About The Position

A legal secretary provides clerical and secretarial support primarily to their assigned Partner, as well as to their associate(s), and other attorneys in the office as needed. Secretaries are expected to support their team and the Firm by working professionally on behalf of clients and promptly responding to their needs in conjunction with the firm's core values to help manage each claim to the best result achievable. This role involves a variety of tasks including dictation completion, scanning of various documents, filing, managing incoming and outgoing mail, e-filing, managing attorney calendars, entering billable time, and providing front desk phone coverage. The position requires critical thinking, problem-solving, analytical skills, organizational skills, efficiency, maturity, professionalism, and a great work ethic, along with compliance with all requirements outlined in the Employee Handbook. All employees are expected to engage in legal and moral activities to further the Firm’s Mission Statement and provide preeminent service with zeal to clients, maintaining professional, ethical, and competent interactions.

Requirements

  • 65+ word typing speed
  • Ability to alternatively sit for long extended periods of time but also stand and walk (remain on feet) for extended periods of time
  • Ability to spend extended periods of time working with computers, focused on monitors, doing repetitive typing and keyboarding
  • Ability to drive/operate a motor vehicle and have reliable transportation
  • Attendance within keeping with the attendance policy
  • Tried and proven psychological/mental capacity to work in an often stressful, fast-pace, litigation environment

Nice To Haves

  • 1-3 years’ experience in a clerical position
  • Bachelor’s degree
  • Extended periods of repetitive bending, twisting, stooping, and squatting
  • Ability to lift and carry frequently up to 30 lbs
  • Ability to work overhead and below waist level

Responsibilities

  • Timely completion of dictation assigned
  • Scanning medical records, Industrial Accident Board documents, Correspondence, Releases of information, factual information, and attorney notes
  • Filing medical records, IAB documents, Releases of information, and factual information
  • Retrieving, date stamping, and case number labeling incoming mail, scanning to appropriate e-files, and delivering to recipient
  • Saving PDF’d version (with enclosures) of outgoing correspondence to e-files, and sending correspondence via email, fax, regular mail, and/or certified mail
  • PDFing emails, scanning medical records, IAB documents, factual information, and release forms to appropriate e-files for e-filing
  • Scanning fax confirmation sheets into PDF’d version of correspondence for proof of delivery
  • Handling agreements and final receipts
  • Acting as a second set of eyes for attorneys to ensure all enclosures are attached to correspondence and that documents are executed
  • Ensuring filing/scanning of fax confirmation sheets are up to date by close of business day
  • Providing front desk phone coverage
  • Entering billable time for the Attorneys
  • Managing Outlook calendars
  • Maintaining productivity in volume of work and/or billable time
