About The Position

The Labor and Employment group has an excellent opportunity for a Legal Secretary in the Orlando, Florida office. This is a non-exempt position that reports to the Human Resources Manager and collaborates with the attorneys and staff on the Labor and Employment team. This position has an in-person presence of five (5) days a week in the Orlando office. The ideal candidate will possess excellent people, organizational, and planning skills and the ability to adapt to fast-paced ever-changing priorities. This role requires high levels of attention to detail, creativity and the ability to think innovatively and exercise independent judgment when necessary while handling sensitive and confidential information. Delivers excellent work and superior service to the Firm’s clients; contributes to the Firm’s reputation for excellence by providing highly efficient and effective secretarial and administrative support to a legal team consisting of four or more attorneys.

Requirements

  • A minimum of three (3) years of law firm experience is required, supporting multiple attorneys, or a demonstrated ability to learn quickly and multitask while working for several individuals.
  • C-suite executive assistant experience may substitute for a legal background.
  • Advanced skills in Outlook and Word (including the use of styles, track changes, and document comparison tools) are required, along with demonstrated proficiency in Excel and PowerPoint.
  • Advanced skills in Adobe Acrobat are required, along with a proven aptitude for learning new software applications.
  • Knowledge of appellate, federal, and state court systems, including appellate and federal e-filing, as well as state court online filing systems, is required, or a demonstrated ability to utilize online filing or similar web-based systems.
  • Strong interpersonal communication skills are required to maintain effective relationships with partners, attorneys, clients, and staff, both in person and via email and telephone.
  • Ability to provide a high level of customer service and to communicate clearly and effectively, both verbally and in writing.
  • Must be highly detail-oriented, able to work independently and as part of a team, and capable of managing high-priority projects.
  • Basic knowledge of legal terminology, court rules, and procedures, or a demonstrated willingness to quickly learn new rules and procedures.

Responsibilities

  • Communicates with attorneys and assists in balancing the team’s workload to ensure completion of projects within established timeframes and quality standards; seeks guidance from the Human Resources Manager as necessary.
  • Prepares and processes legal documents, including but not limited to subpoenas, complaints, motions, and other legal documents and pleadings under the supervision and direction of attorneys.
  • Schedules and coordinates hearings with federal and state courts.
  • Schedules and coordinates depositions and other attorney-client meetings.
  • Dockets legal pleadings and calendars other important dates, as appropriate.
  • Manages attorneys’ calendars.
  • Assists with the opening and closing of client matters.
  • Organizes and maintains client and form files.
  • Assists with billing and edits; enters attorney time into the time entry system as requested.
  • Enters expenses into the expense system and requests checks for various vendors.
  • Provides dependable and flexible support.
  • Demonstrates teamwork by providing secretarial and administrative support to others as requested by the Human Resources Manager, whenever workload permits; contributes to the assimilation of new legal and support staff.
  • Performs other duties as assigned.
