About The Position

Under general supervision, the Legal Secretary performs complex and specialized trial litigation secretarial and clerical support duties related to the specific work and functions of the assigned attorney(s). The Legal Secretary is highly skilled in providing executive-level support and ensures a high standard of client relations and client satisfaction in all aspects of the role.

Requirements

  • High school diploma or equivalent; college degree preferred
  • 5-7 years of law firm experience at a litigation desk preferred
  • Ability to work through complex document markups and instructions in a timely manner
  • Ability to multi-task, manage and process workflow timely and accurately
  • Extensive knowledge of Federal and State court electronic filing systems, PACER, ADR and JAMS mediation processes
  • Knowledge of various court rules on the state and federal levels
  • Ability to communicate effectively with clients, attorneys, co-workers and management
  • Minimum typing speed of 70 wpm
  • Proficient in Microsoft Suite, including, but not limited to Word, Excel, Adobe and Outlook
  • Proficient in iTimekeep or similar time entry software
  • Advanced proficiency in NetDocs or similar programs
  • Familiarity with Aderant or other accounting software is a plus
  • Proficient in Forms Workflow or other Judicial Council programs to efficiently access necessary court forms
  • Must be a team player, proactive, flexible, organized and able to work under pressure

Responsibilities

  • Complete assignments including drafting, revisions and finalization of correspondence, pleadings (including tables of authorities), court forms, memoranda, and redline comparisons
  • Conflicts checks, opening new client matters and obtaining conflicts waivers, if necessary
  • Draft and serve discovery documents
  • Prepare and send correspondence and/or emails to clients and/or opposing parties
  • Assist attorneys with arranging and preparing for depositions
  • Assist with trial preparation and trial support
  • Calendar relevant dates
  • Process vendor invoices, organize files, prepare expense reports, and manage attorney monthly billings
  • Arrange for travel, meetings/depositions (in office or out of office); and remote court appearances
  • State, civil, complex federal and appellate filings (manual and/or electronic, where applicable) and service of pleadings
  • Maintain and organize physical and electronic attorney files in accordance with department policies, practices and procedures
  • Attend training sessions as required or requested by the Firm
  • Production, including creation of flash drives and/or pdf of same for transmittal to client, along with hard copies
  • Retrieval and assembly of exhibits and hearing binders, as needed
  • Provide peer support
