About The Position

The Arizona Attorney General’s Office Child and Family Protection Division/Child Support Service Section is seeking a Legal Secretary I position. The position provides comprehensive secretarial support to Assistant Attorneys General. Key responsibilities include managing case files, obtaining and organizing court documents, handling post hearing paperwork, scanning and filing materials, logging correspondence, and preparing legal documents. The role also involves answering and routing phone calls, communicating with clients and court personnel, coordinating service of process, maintaining case calendars and database entries in AZCARES, and generating standard legal forms. The legal secretary may assist in training new staff and must work with confidential information governed by federal and state laws. This position may offer the ability to work remotely two days a week, based upon the department's business needs and continual meeting of expected performance measures.

Requirements

  • Knowledge of word processing software
  • Knowledge of legal terminology, legal forms, court procedures and applicable timeframes
  • Extensive knowledge of the principles, concepts, practices, methods and techniques common to a modern law office
  • Typing at least 60 WPM
  • Oral and written communication
  • Interpersonal relationships
  • Manage/handle a heavy workload under time pressure with multiple tasks
  • Ability to independently prepare legal documents
  • Ability to track and follow through on voluminous court actions.
  • Ability to utilize automated case management systems and follow office procedures for maintaining and tracking records
  • Ability to organize, prioritize, and perform varied tasks and track multiple deadlines simultaneously
  • Fingerprinted by the Office and complete a criminal background check through State and Federal agencies.
  • Successfully complete the Electronic Employment Eligibility Verification Program (E-Verify).

  • Experience as Administrative Assistant and or Legal Secretary is preferred.

Responsibilities

  • Answers and routes telephone calls on a multi-line phone system and takes messages as appropriate.
  • Answers inquiries from the client, court personnel, and others regarding case activity and status.
  • Prepares legal pleadings, documents and forms in all types of actions necessary to process cases on behalf of the client.
  • Logs cases in and out of the office and creates working files; gathers and organizes working files.
  • Cross-references cases against calendars provided by the court and case management database; enters calendar events, deadlines, and case activities in case management database (AZCARES) to track progression of activities, reflect case status and follow through with post-hearing documentation.
  • Files documents in the appropriate working files; organizes and scans case-related documents into the imaged case file; logs incoming correspondence into AZCARES including legal documents from the process server and electronic minute entries; documents and research returned mail; mails case related documents to parties and greets and assist.
  • Coordinates and follows up on Service of Process including communicating with the process servers and locate unit.
  • Other duties as assigned related to the position.
