Job Description: At Job Duck, we are looking for a dedicated Intake Specialist who will serve as the first point of contact for potential clients and play a critical role in the firm’s growth. In this role, you will manage a high volume of inbound and outbound calls, respond promptly to intake leads, and ensure every caller feels heard, supported, and guided. Your day to day work will directly impact client satisfaction and conversion by balancing empathy with a results driven approach. This position is ideal for someone who thrives in fast paced environments, understands the importance of urgency, and enjoys contributing to both client experience and operational efficiency.

Requirements

  • Time Zone: Pacific Standard Time PST
  • Work Schedule: Full time aligned with PST business hours 8:00 AM to 5:00 PM
  • Clio CRM
  • Dialpad VoIP
  • Outlook Email
  • Outlook Calendar
  • Simple Talk
  • Google Sheets
  • Strong English proficiency written and verbal
  • Ability to manage approximately 45+ calls per day
  • Comfortable handling a mix of inbound and outbound calls
  • Capable of switching between call handling and administrative reporting during slower periods
  • Work Shift: 9:00 AM - 6:00 PM [PST][PDT] (United States of America)
  • Languages: English, Spanish

Responsibilities

  • Coordinate with internal team members to support client onboarding
  • Conduct initial client intakes with empathy and clarity
  • Respond quickly and professionally to new intake leads
  • Maintain accurate records within the CRM
  • Track and report intake activity during slower call periods
  • Qualify leads using a sales minded approach
  • Follow up with potential clients to maintain engagement
  • Manage inbound and outbound calls throughout the workday
