The Legal Practice Assistant provides high-level administrative and practice support to a group of attorneys (typically 5–9), partnering closely with them to manage workflow, client matters, and day-to-day operations. This role serves as a key resource within the practice, working collaboratively across teams to ensure work is delivered efficiently, accurately, and with a consistently high standard of professionalism in a fast-paced environment with competing priorities.

Requirements

  • High School Diploma or equivalent required
  • Prior experience as a Legal Secretary or Legal Practice Assistant in a law firm or professional services environment required
  • Minimum of 5 years of experience supporting multiple attorneys strongly preferred
  • Proficiency in Microsoft Office products; accurate typing, grammar and spelling skills required.
  • Exceptional written and verbal communication skills, with the ability to interact professionally at all levels
  • Strong collaboration skills and ability to work effectively in a team-oriented environment
  • Proven ability to manage competing priorities, meet deadlines, and adapt to shifting demands under pressure
  • Self-starter with a high level of initiative, ownership, and accountability
  • Strong client service mindset with the ability to anticipate needs and proactively provide solutions
  • Excellent organizational skills and attention to detail, with the ability to manage multiple tasks simultaneously

Responsibilities

  • Provide high-level administrative support to assigned attorneys, including calendar management, meeting coordination, and day-to-day practice logistics
  • Partner with attorneys to manage priorities, anticipate needs, and ensure timely execution of client work
  • Prepare, revise, format, and proofread legal documents and correspondence with a high degree of accuracy, often under tight timelines
  • Track and manage deadlines, filings, and key milestones; proactively follow up to ensure completion
  • Coordinate and organize materials for meetings, hearings, arbitrations, trials, and other critical events, including managing large and complex document sets
  • Prepare and submit electronic filings with courts and other governing bodies, ensuring compliance with applicable rules, formatting, and deadlines
  • Maintain organized electronic and physical filing systems in accordance with firm protocols
  • Support billing and administrative processes, including time entry, invoice preparation, expense reporting, and matter intake
  • Serve as a primary point of contact for attorneys, handling communications with internal teams, clients, and external vendors with professionalism and discretion
  • Coordinate travel arrangements, meetings, and logistics, and assist with client and business development activities
  • Provide team support by assisting peers, balancing workloads, and contributing to a collaborative environment
  • Utilize firm systems and technology to ensure accuracy, efficiency, and organization across all work
  • Assist with special projects and perform additional duties as assigned
