About The Position

The Legal Operations Specialist is responsible for the operational infrastructure that supports the Corporate Legal Department, including legal technology, contract intake workflows, repositories, reporting, and process improvement. This role owns systems administration, data integrity, dashboards, training, and administrative workflow management, and partners with attorneys and business stakeholders to improve efficiency, visibility, and compliance. This role does not provide legal advice or independently negotiate, redline, or approve substantive legal terms; substantive contract review remains with attorneys and paralegals.

Requirements

  • Bachelor’s degree preferred.
  • 2-3+ years of relevant experience in legal operations, contract operations, CLM (Contract Lifecycle Management) administration, legal technology, or a comparable role required.
  • Demonstrated experience administering legal or contract-management tools, repositories, reporting environments, or workflow systems required.
  • Experience building metrics, dashboards, reports, or process documentation for legal or business stakeholders required.
  • Strong process design, systems thinking, and operational problem-solving capabilities.
  • Ability to manage data accurately, maintain clean repositories, and translate operational information into useful reporting.
  • Strong project coordination, follow-through, and organizational skills, with the ability to prioritize multiple requests effectively.
  • Clear written and verbal communication skills and the ability to work effectively across attorneys, business teams, IT, and other support functions.
  • High level of discretion in handling confidential and sensitive information.
  • Proficiency in Microsoft Office, especially Excel and PowerPoint; familiarity with SharePoint, Power BI, DocuSign, CLM platforms, e-billing tools, and related legal technology strongly preferred.
  • Ability to distinguish operational support from substantive legal work and to route legal judgment calls to attorneys appropriately.

Nice To Haves

  • Experience supporting technology-enabled process improvement, training, system rollout, or change management initiatives preferred.
  • Experience in a global corporate, manufacturing, or other high-volume commercial contracting environment preferred.

Responsibilities

  • Own and administer legal operations tools and workflows supporting contract intake, matter routing, repositories, dashboards, and related legal technology.
  • Manage the day-to-day administration, data quality, and user support for commercial contract databases, NDA repositories, SharePoint sites, signature tools, and other legal department systems.
  • Develop, maintain, and improve intake processes, workflow rules, standard operating procedures, and documentation for Commercial Legal and related partner functions.
  • Create, maintain, and analyze metrics, dashboards, and reports on workload, cycle times, turnaround, repository quality, and other key performance indicators.
  • Partner with attorneys, paralegals, and business stakeholders to identify process bottlenecks and implement scalable solutions that improve efficiency and consistency.
  • Support legal technology enhancements, including testing, requirements gathering, user acceptance testing, training materials, rollout support, and ongoing adoption efforts.
  • Maintain department knowledge resources, templates, process guides, shared sites, and reference materials in coordination with legal subject matter owners.
  • Coordinate the administrative aspects of NDA and contract workflows, including status tracking, queue management, repository filing, metadata accuracy, and escalation routing.
  • Support billing and vendor-management processes, including legal invoice workflow administration, billing guideline checks, and reporting through approved systems.
  • Partner with IT, procurement, compliance, privacy, and other internal teams on access, records, retention, integrations, and process governance matters.
  • Support audits, compliance requests, and internal reviews by ensuring complete and accurate records, process documentation, and retrievable reporting as needed.
  • Perform other duties and responsibilities as assigned.
