Reporting to the VP & GC ChemTreat & Legal VSL, the Legal Operations Specialist is responsible for providing operational, analytical, and administrative support to the ChemTreat Legal Operations (Veralto Enterprise System/VES) and Veralto Labor & Employment team. In this role, you'll maintain matter management systems, develop data dashboards that surface actionable legal insights, and deliver the day-to-day administrative. This position is part of the Legal department located in Glen Allen, VA and will be on-site at ChemTreat, one of our operating companies.

Requirements

  • High school diploma or equivalent required; Associate's or Bachelor's degree in Business Administration, Legal Studies, Paralegal Certificate, or a related field preferred.
  • 5+ years' experience in a legal administrative, legal operations, paralegal or litigation support role within a corporate legal department or law firm environment.
  • Proven track record of maintaining organized legal matter files, case records, and documentation with a high degree of accuracy and confidentiality.
  • Experience with matter management software and/or litigation support tools, with demonstrated ability to maintain data integrity and generate useful reports.
  • Managing and operating experience applying artificial intelligence for data analysis and matter management
  • Experience with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) with demonstrated ability to create trackers, reports, and presentations.
  • Strong organizational skills with demonstrated ability to manage multiple priorities, meet deadlines, and adapt effectively in a fast-paced environment.

Nice To Haves

  • Experience building and maintaining legal data dashboards using tools such as Power BI, Tableau, or advanced Excel.
  • Membership in a paralegal organization, paralegal certificate or membership in a legal operations organization like CLOC.
  • Paralegal certificate or formal coursework in legal studies.
  • Background in labor and employment law support, HR compliance, or related legal functions in a corporate environment.
  • Experience with e-billing platforms such as Legal Tracker, Brightflag or similar tools.
  • Familiarity with legal operations process improvement methodologies or project coordination in a legal function.
  • Experience supporting in-house legal teams within manufacturing, chemical, or industrial companies.

Responsibilities

  • Maintain Veralto legal matter management systems by creating, updating, and auditing matter records to ensure data accuracy, completeness, and compliance with document retention policies — enabling reliable reporting and informed decision-making.
  • Build and deliver recurring legal data dashboards and reports that track matter status, litigation activity, outside counsel spend, and key performance indicators to give attorneys and leadership real-time visibility into the portfolio.
  • Support litigation activities by organizing and maintaining case files, coordinating document collection and production logistics, tracking key deadlines, and serving as the administrative liaison between inside and outside counsel.
  • Coordinate day-to-day administrative activities for the Labor & Employment and Legal Operations teams — including scheduling, meeting logistics, calendar management, and correspondence — to ensure seamless operations.
  • Facilitate the intake and routing of legal requests from internal business clients, ensuring timely triage, acknowledgment, and follow-up on open matters within the matter management system.
  • Process outside counsel invoices through the e-billing platform, flagging billing guideline deviations, coordinating approvals, and maintaining accurate spend records to support legal budget management.
  • Collaborate with HR and Labor & Employment attorneys to organize employment-related legal files and correspondence in support of active matters, regulatory inquiries, and agency charges.
  • Implement process improvements across legal operations workflows, including updating document templates, drafting standard operating procedures, and contributing to knowledge management resources.
  • Coordinate logistics for legal training sessions, compliance communications, and department meetings — including preparation of materials and tracking action items to completion.
  • Partner with outside counsel and legal vendors to manage engagement letters, track deliverables, and maintain vendor records consistent with company procurement policies.
