About The Position

Greenfield Milling is seeking an Office Administrator to support its Denver office and provide hands-on administrative, HR, and legal/entity-management support across the organization. This role will work closely with the Director of Corporate Administration, who has been supporting the company's owners and CEOs and has an increasing range of responsibilities that is customary with a growing company. This is an on-site role during the initial training period, with the opportunity of transitioning to a hybrid schedule over time. This role is centered on office operations, HR-related administrative support, and legal administration activity across the company's business entities.

Requirements

  • Prior experience in an administrative, paralegal, or legal support capacity preferred.
  • Working knowledge of corporate governance and entity-management fundamentals (annual reports, registered agents, maintaining good standing).
  • Comfortable working on-site during the initial training period, with flexibility to shift to a hybrid schedule over time.
  • Strong organizational skills and comfort managing detailed documentation across multiple business entities; comfortable working independently with minimal supervision while juggling deadlines.
  • Excellent written and verbal communication skills, with strong attention to detail and discretion handling sensitive information.
  • Able to work cross-functionally and support a small, fast-paced office.
  • Proficiency with Microsoft Office Suite; familiarity with entity-management or document-management platforms is a plus, not required.
  • Prior experience in a small or growing company setting is a plus, given the wear-many-hats, generalist nature of the role.

Responsibilities

  • Provide day-to-day office administration support for the Denver location, including scanning documents, handling incoming mail, and general office operations.
  • Manage office supply ordering, vendor coordination, and facilities logistics for the Denver office.
  • Serve as a point of contact for incoming calls, visitors, and general office inquiries.
  • Support HR-related administrative tasks as needed, including onboarding /offboarding paperwork and personnel file organization.
  • Maintain and manage documentation and details related to the company's business entities, working closely with legal counsel and leadership to keep entity records organized and current.
  • Track compliance deadlines and coordinate timely filing of annual reports, business license renewals, and other state filings to keep all entities in good standing.
  • Maintain corporate records and minute books (physical and/or digital) for each entity, including officer/manager appointments and formation documents.
  • Serve as liaison with registered agents, outside counsel, and government agencies on entity-related correspondence and filings.
  • Provide paralegal-level support on legal and entity matters as needed, including drafting, proofreading, and organizing routine legal correspondence and documents under attorney guidance.
  • Coordinate notarization and document execution processes as needed.
  • Support due diligence and documentation requests for financing, contracts, or other corporate transactions as needed.
  • Collaborate cross-functionally with multiple departments across the organization.
  • Use the company's existing expense management system as needed; no specialized software experience required.
