Requirements

  • High school diploma required.
  • At least four (4) years of experience in a similar position in a legal or corporate environment is required.
  • Proven people management skills.

Responsibilities

  • Provide dedicated administrative support to the FFHSJ Corporate & Tax Practice Group Center (PGC) attorneys on a designated schedule.
  • Collaborate with other Legal Executive Assistants (LEAs) and Business Services staff to ensure all attorneys in the PGC/cluster are properly supported.
  • Manage calendars, including meetings, appointments, filing deadlines, and client-related activities.
  • Provide telephone support to attorneys by screening calls and relaying messages.
  • Coordinate travel arrangements (ground, rail, and air) and prepare itineraries.
  • Enter attorney time using InTapp before the weekly deadline, ensuring compliance with Firm policies and procedures, and monitoring/moving time attributed to matters held in suspense.
  • Submit attorney expenses and invoices through Emburse (Chrome River), including travel expense reports and disbursement requests.
  • Process legal documents and general correspondence, including making revisions and preparing comparisons. May draft basic documents for attorney review.
  • Proofread materials for formatting, spelling, and grammar.
  • Assist with client billing, including preparing billing correspondence and editing bills and computations.
  • Monitor, review, and route incoming mail, delivering mail to offices and flagging urgent matters.
  • Schedule in-person conference room meetings and arrange refreshments, meals, and audio/visual equipment.
  • Schedule virtual meetings via Microsoft Teams and other Firm software.
  • Coordinate package deliveries with the Mail Room and document preparation with the Document Processing Center and Duplicating department.
  • Request visitor clearance with Lobby Security.
  • Monitor and manage Bar/CLE credits and dues.
  • Enter activities and maintain/update contact names and addresses in InterAction/Outlook; maintain players and distribution lists.
  • Coordinate file management with the Records Department by handling the removal and storage of physical and electronic client files.
  • Prepare conflicts checks and prepare New Matter forms, Engagement Letters, etc.
  • Perform occasional personal work for attorneys.
