Job Description: At Job Duck, we are looking for a Legal Executive Assistant with a strong focus on office administration and operational support, complemented by light legal assistance. This role ensures that daily workflows run seamlessly, deadlines are consistently met, and administrative processes are handled with precision. Requirements

  • 2-3 years of experience working as an Executive Assistant
  • Legal background is highly appreciated
  • Billing knowledge is a plus
  • Proficiency with Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
  • Experience with case management or legal software (Smokeball)
  • Familiarity with communication platforms such as Zoom
  • Comfortable using document tools such as Adobe
  • Detail-oriented
  • Strong organizational skills
  • Effective written and verbal communication
  • Ability to manage and prioritize tasks independently
  • High level of accuracy and consistency
  • Proactive and self-motivated work style

Responsibilities

  • Respond promptly to emails and internal communications
  • Attend and actively participate in scheduled meetings
  • Take ownership of recurring processes such as payroll reminders and approvals
  • Follow up consistently on assigned tasks without prompting
  • Assist with billing-related administrative tasks
  • Monitor and manage voicemails, ensuring timely assignment and issue identification
  • Support billing processes and documentation
  • Provide basic legal assistance where required
  • Support event planning and coordination
  • Ensure deadlines are met for payroll inputs and internal processes
  • Maintain calendars, reminders, and task tracking systems
  • Manage and organize daily office workflows
