About The Position

Creative Artists Agency (CAA) is seeking a Department Assistant to join its legal team in Los Angeles. This role supports a team of Executives within the Office of the Chief Legal Officer. The position is hybrid, requiring onsite presence 4 days a week or more, as mandated by the business.

Requirements

  • 5+ years of general office experience
  • Bachelor's Degree preferred
  • Strong Microsoft Office, specifically Word, Excel and PowerPoint
  • Professional demeanor, good judgment, ability to problem solve and superior organizational skills
  • Strong written and verbal communication skills
  • Strong prioritization ability and MS Outlook calendaring skills

Nice To Haves

  • Reception experience a plus

Responsibilities

  • Performs administrative and office support activities for executives on the legal team
  • Routes incoming calls to the appropriate personnel, and track for follow up as needed
  • Manages calendars for all assigned executives on the legal team, setting up and managing meetings, reserving conference rooms etc.
  • Manages the expenses process for all assigned executives on the legal team
  • Receives and directs visitors
  • Maintains department and vacation/sick calendar and contact lists.
  • Proficient in Microsoft Office and other similar office applications, including Outlook and Word (redlining), PowerPoint, Acrobat Adobe Professional (including AdobeSign), NetDocuments.
  • Understands the workflow relationships both of the Office of the Chief Legal Officer and the agency at large.
  • Coordinates travel itineraries and submit monthly expense reports.
