With that being said, we are looking for a Legal Assistant who will serve as a central administrative support role within the firm. This role assists attorneys, paralegals, and operational leadership by ensuring administrative tasks, client communication coordination, scheduling, and case documentation are handled with precision and discipline. The Legal Assistant plays a critical role in maintaining organization across the firm and helping ensure that communication, documentation, and workflow tasks are executed reliably. While this role is administrative in nature, it requires a high level of professionalism, attention to detail, and proactive thinking. The right candidate understands that strong administrative execution directly impacts the quality of legal service delivered to clients.

Nice To Haves

  • 2+ years of experience working as a Legal Assistant, Administrative Assistant, or similar, in a law firm environment highly preferred (but not required).
  • Experience working within legal case management systems such as PracticePanther or similar and Lead Docket or similar, with the ability to manage tasks, deadlines, and case information accurately is highly preferred.
  • Previous experience either managing administrative responsibilities across multiple cases and tasks without losing accuracy, or if not legal cases, similar.
  • A self-starter who takes responsibility for their work and does not require constant direction.
  • Someone who takes pride in maintaining organization, accuracy, and professionalism in everything they handle.
  • Experience in interacting with clients, attorneys, and team members while maintaining professionalism under pressure.

Responsibilities

  • Monitor incoming client communications and ensure inquiries are acknowledged and routed to the appropriate attorney or paralegal.
  • Assist with scheduling consultations, client meetings, hearings, and internal case discussions.
  • Help maintain proactive client communication by coordinating updates and ensuring clients are not left waiting for responses.
  • Support attorneys and paralegals by gathering client documents and information necessary for case progress.
  • Assist attorneys and paralegals with administrative tasks related to case preparation and case management.
  • Prepare and organize documents for signatures, client delivery, and internal review.
  • Coordinate document collection from clients and maintain accurate case file records.
  • Ensure administrative components of case workflows are completed accurately and on time.
  • Maintain organized digital case files in accordance with firm file structure and naming standards.
  • Ensure documents are properly saved, labeled, and accessible within the firm’s document management systems.
  • Assist with new matter setup, including ensuring correct client information and documentation are entered into firm systems.
  • Log communications, case updates, and administrative activities within the firm’s case management platform.
  • Coordinate attorney and legal team calendars to schedule meetings, consultations, hearings, and internal case discussions.
  • Ensure attorneys and staff have the correct documents and materials prepared for scheduled meetings.
  • Help manage scheduling conflicts and ensure client appointments are handled professionally.
  • Assist the firm’s operational leadership in maintaining administrative workflows and task coordination.
  • Help track administrative tasks and ensure follow-ups are completed in a timely manner.
  • Identify administrative gaps or workflow issues and communicate them so they can be addressed quickly.
