About The Position

Diaz Anselmo & Associates is seeking an Administrative Assistant to join our Title/First Legal department. In this essential position, you will oversee mortgage documentation and title workflows, partnering with clients and internal staff to ensure our operations run seamlessly and on schedule.

Requirements

  • 2–4 years of experience as a Legal Assistant or Paralegal
  • Strong proficiency in MS Office
  • Exceptional attention to detail
  • Strong multitasking abilities
  • Capacity to meet strict deadlines in a fast-paced environment
  • High school diploma required

Nice To Haves

  • Background in foreclosure, creditor rights, or real estate litigation
  • Familiarity with Perfect Practice, ICE, Tempo, or ADR
  • An Associate’s or Bachelor’s degree is preferred

Responsibilities

  • Manage the complete lifecycle of Assignments of Mortgage (AOM), from initial intake through final recordation.
  • Record and track Lis Pendens, Title Order Instruments, and other critical real estate paperwork.
  • Facilitate formal approvals and guarantee flawless submissions to county and state agencies.
  • Keep track of production timelines, follow up on outstanding files, and request title gap searches.
  • Ensure accurate, up-to-date information within Perfect Practice and various client portals (ICE, Tempo, ADR).
  • Help assemble and file complaint/summons packages under demanding deadlines, and assist Title Examiners and Legal Assistants with document retrieval.
  • Handle shared departmental email accounts with timely and professional correspondence.
