About The Position

Provides administrative and case-management support to attorneys, helping ensure matters are handled efficiently and deadlines are met. Responsibilities include preparing legal documents, managing court filings, maintaining case files, communicating with clients, and coordinating schedules. The ideal candidate is highly organized, detail-oriented, and able to manage multiple priorities in a fast-paced legal environment.

  • Microsoft Office Suite – Proficiency in Word, Outlook, Excel, PowerPoint, and Adobe Acrobat.
  • Calendaring and Docketing – Tracking deadlines, hearings, court appearances, and litigation schedules.
  • Legal Research Tools – Familiarity with legal research databases and online court resources.
  • Discovery and Records Management – Assisting with document production, subpoenas, and records requests.
  • Data Entry and Database Management – Maintaining accurate client and case information.
  • Billing and Timekeeping Software – Entering attorney time, generating invoices, and tracking expenses.
  • Electronic File Management – Scanning, indexing, organizing, and retrieving electronic records.
  • Technology Proficiency – Ability to learn and effectively use legal technology and office systems.
  • High school diploma or equivalent required; Associate’s degree or Paralegal Certificate preferred.
  • Minimum of 2+ years of experience as a Legal Assistant, Administrative Assistant, or similar role in a legal environment.
  • Strong knowledge of legal terminology, court procedures, and document preparation.
  • Experience with electronic court filing systems in state and/or federal courts.
  • Proficiency in Microsoft Office Suite, including Word, Outlook, Excel, and Adobe Acrobat.
  • Excellent written and verbal communication skills.

  • Associate’s degree or Paralegal Certificate preferred.

Responsibilities

  • Maintain and organize physical and electronic case files to ensure accuracy and accessibility.
  • Monitor and calendar court dates, filing deadlines, hearings, and other important events.
  • Communicate with clients, courts, opposing counsel, vendors, and third parties regarding case status and scheduling.
  • Schedule appointments, depositions, mediations, hearings, and attorney meetings.
  • Assist with case intake, opening new matters, and maintaining client records.
  • Request, receive, and organize records, evidence, and other case-related documents.
  • Conduct basic legal and factual research as directed by attorneys.
  • Prepare document productions, discovery responses, exhibits, and trial or hearing binders.
  • Track attorney time, assist with billing activities, and process client invoices when applicable.
  • Ensure compliance with firm procedures, court rules, and document retention requirements.
  • Provide general administrative support, including answering phones, managing correspondence, and handling incoming and outgoing mail.
  • May perform other duties as assigned to support department goals.
  • May occasionally work extended hours based on operational needs.
