About The Position

Legal Assistant – Corporate Practice Group At Preti Flaherty, we know that exceptional people and efficient processes drive our continued success. Our Legal Assistants are integral members of our team, providing high-level administrative and legal support to attorneys and contributing meaningfully to our client service and transactional outcomes. We are seeking a motivated and highly organized Legal Assistant to join our Corporate Practice Group. This position will b e responsible for preparing legal documents, m aintaining corporate records and files, and providing administrative support to our corporate attorneys. This is a full-time, hourly paid, hybrid position based in our downtown Portland, Maine office.

Requirements

  • Associates degree plus a minimum of 1 year of professional experience or an equivalent combination of education (HS Diploma/GED) plus 2-3 years of professional experience working in a comparable administrative position.
  • Strong written and verbal communication skills with exceptional attention to detail.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) .
  • Excellent organizational skills and the ability to manage multiple projects and deadlines in a fast-paced environment.
  • Self-starter with strong initiative and the ability to work both independently and collaboratively as part of a team.
  • Int erest in working for a l aw firm , preferably with in the corporate or transactional practice area .
  • Commitment to discretion and integrity due to exposure to sensitive and confidential information.

Nice To Haves

  • Bachelor's Degree preferred.
  • Familiarity with document management systems is considered a plus.

Responsibilities

  • Provide comprehensive administrative support to corporate attorneys, including scheduling meetings, maintaining calendars, coordinating travel, organizing and updating documentation files, and processing expense reports.
  • Manage and track multiple matters and advise attorneys / paralegals of upcoming deadlines, outstanding tasks, etc.
  • Organize and maintain electronic and physical real estate and corporate file s.
  • Organize and maintain attorneys’ calendars and email folders.
  • Regular and professional communication with clients, local municipalities, registries of deeds; financial institutions, etc.
  • Proofread various documents such as Deeds, Mortgages, correspondence, etc.
  • Prepare probate forms, basic tax forms, correspondence s , notices, and create packages of indexed documents, etc.
  • Serve as witness and/or Notary Public to in-person document executions.
  • Electronically search and file with the Registry of Deeds.
  • Provide general administrative support to attorneys and paralegals.
  • Assist with billing, time entry, and administrative tasks as assigned.
  • Support attorneys in preparing closing binders, transaction checklists, and signature packets.
