Provides advanced legal and administrative support to assigned prosecutors through independent coordination of criminal case administration, discovery coordination, legal document preparation, court filings, and collaboration with courts, law enforcement agencies, and justice partners. Serves as the primary coordinator for assigned criminal cases, exercising independent judgment to manage complex case workflows, ensure legal compliance, coordinate with justice partners, and support efficient prosecution operations. Requirements

• Work requires knowledge of a specific vocational, administrative, or technical nature which may be obtained with a two-year associate's degree, diploma or equivalent from a college, technical, business, vocational, or correspondence school. Appropriate certification may be awarded upon satisfactory completion of advanced study or training.
• Minimum five years of experience in a related field.
• Valid Driver's License and the ability to become ACJIS certified (in Prosecution).
• Reading: Work requires the ability to read and comprehend legal documents, motions, pleadings, council actions, resolutions and ordinances, contracts, development agreements, policies and procedures, court rules, statutes and various case law.
• Math: Work requires the ability to comprehend and prepare budget requirements, statistical reporting processes, expenditures, and timesheet input procedures.
• Writing: Work requires the ability to write legal documents, motions, pleadings, memorandums, council actions, resolutions or ordinances, contracts, and development agreements.
• Managerial: Job has no responsibility for the direction or supervision of others but may provide advice/direction to an employee with less experience/skill or tenure.
• Policy/Decision Making: Moderate - The employee normally performs the job by following established standard operating procedures and/or policies. There is a choice of the appropriate procedure or policy to apply to duties. More complex work as well as decisions with more significant impacts may be reviewed prior to being finalized.

Nice To Haves

• 3 Months – Orientation & Foundational Performance: Learn division procedures, case management systems, discovery processes, and court workflows. Become proficient with BWC systems, Evidence.com, redaction procedures, and case tracking tools. Understand disclosure requirements, victim rights responsibilities, and office policies. Complete ACJIS certification and demonstrate accurate completion of assigned duties.
• 6 Months – Independent Performance & Reliability: Independently manage assigned responsibilities with minimal supervision. Demonstrate proficiency in discovery administration, document preparation, case coordination, and deadline management. Prepare subpoenas, dockets, reports, and case materials accurately. Maintain reliable and organized case records.
• 9 Months – Advanced Performance & Process Ownership: Demonstrate independent judgment in managing priorities and resolving routine issues. Take ownership of assigned projects and workflow improvements. Obtain and organize certified records, prior convictions, DUI reports, and other case documentation. Support team operations through collaboration and knowledge sharing.
• 12 Months – Full Proficiency & Operational Excellence: Perform essential job functions independently with accuracy, professionalism, and reliability. Successfully manage assigned case, discovery, documentation, and operational responsibilities. Maintain compliance with legal requirements, court procedures, and office policies. Contribute to process improvements and serve as a dependable resource for prosecutors, staff, and justice partners.

Responsibilities

• Prosecution Case Management & Prosecution Support: Coordinates and manages criminal cases throughout the prosecution lifecycle, ensuring timely case processing, compliance with legal requirements and court procedures, and effective coordination of criminal case activities, including assisting prosecutors with trial preparation. Exercises independent judgment in prioritizing work, managing competing deadlines, and resolving routine procedural issues in accordance with established policies and legal requirements.
• Discovery Administration & Legal Compliance: Manages the discovery process by coordinating the collection, review, organization, redaction, and disclosure of case records and evidence, ensuring compliance with statutory disclosure requirements, court rules, prosecutorial obligations, and established office procedures.
• Legal Document Preparation & Court Administration: Prepares and coordinates a wide variety of legal documents, pleadings, correspondence, court filings, and related materials while monitoring statutory and court-imposed deadlines, maintaining filing accuracy, and ensuring proper documentation and case record integrity.
• Justice Partner Collaboration: Coordinates criminal case activities among prosecutors, courts, law enforcement agencies, and other justice partners by monitoring case status, coordinating the exchange of case information, resolving procedural issues, and ensuring timely completion of case-related activities in compliance with legal and court requirements.
• Operational Support & Process Improvement: Supports operational excellence by evaluating and improving workflows, developing and maintaining standard operating procedures, assisting with the implementation of office processes and technology, training staff on new procedures, identifying opportunities to improve efficiency and consistency, and contributing to continuous improvement initiatives across the division.
• Division Operations & Organizational Support: Supports division-wide operations by maintaining case management systems, fielding incoming calls and visitors to the office, organizing electronic records, coordinating workflow and case tracking, supporting special projects and organizational initiatives, participating in City programs and committees, preparing reports and documentation, and providing operational support to maintain workflow continuity and ensure effective division operations.
